Job Summary
We are seeking energetic and personable Front Desk Staff to be the welcoming face of our organization. In this vital role, you will manage front office operations, provide exceptional customer service, and ensure smooth administrative workflows. Your enthusiasm and organizational skills will help create a positive environment for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management experience while contributing to a dynamic team. Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls to appropriate departments or personnel
Manage appointment scheduling and calendar management using digital tools such as Google Workspace or Microsoft Office
Handle incoming and outgoing correspondence, including emails, mail, and packages with professionalism and accuracy
Maintain organized filing systems, perform data entry, and ensure records are up-to-date and easily accessible
Assist with clerical tasks such as proofreading documents, preparing reports, and managing office supplies
Support office management activities including bookkeeping with QuickBooks or similar software, and basic bookkeeping tasks

Skills

Proven experience in front desk operations or office administration with strong organizational skills
Excellent phone etiquette and customer support skills in a fast-paced environment
Bilingual abilities are highly preferred to serve diverse client needs effectively
Proficiency in computer literacy including Microsoft Office (Word, Excel), Google Workspace, data entry, and general office software
Strong typing skills with attention to detail for proofreading and document accuracy
Ability to multitask efficiently while managing time effectively in a busy setting
Experience with office management tools such as calendar management software and QuickBooks for bookkeeping tasks
Previous clerical experience including filing, data entry, and administrative support roles is desirable
