Position Summary

Full Time / In Office / Canonsburg, PA & Imperial, PA

The Payroll Specialist is responsible for supporting the day-to-day administration of payroll for a large, multi-state workforce. This role ensures employees are paid accurately and on time while maintaining compliance with company policies, union agreements, and applicable federal, state, and local regulations.

The ideal candidate is detail-oriented, highly organized, and able to thrive in a fast-paced environment with strict deadlines. This position requires strong problem-solving skills, a high level of accuracy, and the ability to work collaboratively with employees, managers, Human Resources, and Finance.

*Occasional overnight travel between company locations may be required.

Key Responsibilities:

Process weekly payroll for 500+ union and non-union employees across multiple states while meeting strict processing deadlines.
Review, investigate, and resolve payroll discrepancies, timekeeping issues, and employee payroll inquiries.
Process and maintain certified payroll reports in accordance with project and contractual requirements.
Process new hire paperwork and ensure payroll records are established accurately.
Review payroll data for completeness and accuracy prior to processing.
Ensure compliance with union agreements, wage determinations, tax regulations, and company payroll policies.
Partner with Human Resources and other departments to ensure timely processing of employee status changes, deductions, and earnings.
Maintain confidentiality of employee payroll and personnel information.
Assist with payroll audits, reporting, year-end activities, and other payroll-related projects as needed.
Perform other duties as assigned.

Required Qualifications:

High school diploma or equivalent.
Minimum of 2 years of payroll, accounting, or related administrative experience.
Strong attention to detail with exceptional accuracy.
Ability to manage multiple priorities while consistently meeting deadlines.
Excellent organizational, communication, and problem-solving skills.
Proficiency in Microsoft Office, particularly Excel.
Ability to handle confidential information with professionalism and discretion.

Preferred Qualifications:

Minimum of 3 years of payroll experience.
Experience processing payroll for union employees and multiple states.
Experience with certified payroll reporting.
Experience with Workday or another enterprise ERP/payroll system.
Familiarity with prevailing wage and union payroll requirements.
