About the Role

Retina Vitreous Consultants, Inc. is seeking an experienced and highly organized Front Desk Supervisor to co-manage front office operations across our growing retina practice. This leadership role is essential to ensuring exceptional patient experiences, efficient clinic workflows, and clear communication with both patients and referring providers. The ideal candidate thrives in a fast-paced specialty practice and understands the importance of coordination in a referral‑based healthcare setting.

Key Responsibilities

Oversee daily front desk operations to ensure smooth, efficient patient check-in and check-out
Supervise, train, coach, and support front desk staff across six practice locations in Southwest Pennsylvania and West Virginia
Manage complex scheduling for multiple retina specialists, including urgent and referral-driven appointments
Serve as a primary point of contact for patient concerns, resolving issues with professionalism and empathy
Coordinate and communicate effectively with referring physicians’ offices, ensuring accurate scheduling, timely information exchange, and outstanding service
Maintain accurate patient demographics, insurance verification, and documentation
Ensure compliance with HIPAA and healthcare regulations
Monitor workflows to improve efficiency and enhance the patient and referring-provider experience
Oversee front desk supplies and inventory
Collaborate closely with physicians, technicians, and leadership to support clinic operations

Qualifications

Previous experience as a Front Desk Manager, Office Manager, or Supervisor in a medical practice (ophthalmology/retina experience strongly preferred)
Solid understanding of medical office operations, insurance processes, and healthcare regulations
Strong leadership skills with the ability to motivate and develop staff
Excellent organizational skills with the ability to multitask and prioritize in a busy clinical environment
Proficiency with EHR systems and scheduling software
Excellent communication, customer service, and problem-solving skills
Detail-oriented with a proactive, solutions-focused mindset
