Status: Part-time, Non-Exempt
Division: St. Joseph Center Salary Grade: 9
Department: CSJ Educational Network Salary Range: $25.75 per hour to

$31.05 per hour
Reports to: Director of Education Last Update: June 8, 2026

Position Summary:

The Administrative Coordinator provides comprehensive organizational, operational, and
communication support to the CSJ Educational Network. This role ensures seamless planning and
execution of events, retreats, meetings, and program initiatives while maintaining accurate records,
coordinating communications, and supporting financial and administrative processes. This position
reports to the Director of Education and works collaboratively with the Associate Director, CSJ
Educational Network Staff and the St. Joseph Center Staff.

Work Environment:

This role operates in a dynamic, mission-driven environment requiring flexibility to multiple support
events, meetings, and deadlines serving four distinct regions in California. The ideal candidate is
organized, internally motivated, an excellent project manager, and is able to work independently and
adept at handling the pressure of multiple tasks and deadlines.

Essential Functions:

Calendar & Event Coordination

Maintain and manage master calendars for internal and external stakeholders, including

schools, retreats, and board meetings.

Schedule and coordinate large-scale events such as ministerial formation sessions, leadership

formation meetings, service-learning events, retreats, board meetings, and regional gatherings.

Reserve venues, confirm dates, and coordinate logistics (space booking, catering, equipment,

and materials).

Prepare and distribute calendar invitations and event reminders.

Communications Management

Draft and send program-wide communications, including announcements, reminders,

newsletters, and event information.

Coordinate communication related to major external initiatives such as programs, retreats, and

regional gatherings as well as on campus events such as Art in the Garden, campus sponsored
events, and inter-ministry collaborations.

Serve as a liaison between St. Joseph center staff, schools, vendors, and external partners.
Maintain distribution lists and ensure timely, accurate messaging.
Represent the CSJ Educational Network to the St. Jospeh Center community during office hours

in person, and through electronic and telecommunications.

Meeting & Program Support

Prepare agendas, meeting materials, and pre-reading documents for programs, regional

meetings, board meetings and events.

Coordinate logistics for meetings (room setup, refreshments, attendance tracking, etc.)
Record and track action items and follow-ups from meetings.
Coordinate travel arrangements for the CSJ Educational Network team and outside partners.
Collaborate with operations and IT staff for on campus meetings, programs and retreats.

Event & Retreat Logistics

Coordinate end-to-end planning for retreats, including participant communication, lodging,

dietary accommodations, and scheduling.

Manage event-day logistics such as check-in, setup, schedules, and participant support.
Ensure materials (printed resources, presentations, supplies) are prepared and distributed.

Financial & Administrative Coordination

Manage dues tracking, invoicing, and related reporting using spreadsheets.
Process reimbursements for staff, travel, and event expenses.
Assist with budget-related tasks for events and programs.
Maintain organized records of agreements, payments, and financial documentation.
Coordinate with the finance office in facilitating processes and procedures at the direction of

the Director.

Data & Systems Management

Maintain and update tracking tools (e.g., Excel sheets for dues, agreements, and participation).
Collaborate with communications and IT in managing SharePoint calendars, forms, and

documentation systems.

Support data collection efforts (e.g., surveys, program participation tracking).

Stakeholder Coordination

Coordinate with schools, principals, vendors, and program partners to confirm participation and

logistics.

Follow up on outstanding tasks, responses, and required documentation.
Provide high-level mission informed service and relationship management.

Position Qualifications:
Minimum Education Requirements: Bachelor’s degree, or 5 years’ experience in office administration
setting in lieu of degree

Experience: Minimum 3 years of office experience.

Preferred experience: Understanding of or experience with Catholic education and/or pastoral ministry.

Working Conditions

Shared workspace
May be required to work outside regular business hours on days of special events
The employee is frequently required to sit; stand; walk; talk or hear; lift and/ or move up to 25

pounds.

Ability to maintain confidentiality
