Full Job Description

Position Overview

We are seeking a highly organized, dependable, and detail-oriented Office Secretary / Administrative Coordinator to support our day-to-day office operations. This position will provide administrative support, maintain company records, coordinate documentation, assist with compliance requirements, manage business registrations, and help ensure that important deadlines and administrative responsibilities are completed accurately and on time.

The ideal candidate is professional, organized, responsive, and comfortable managing multiple priorities while maintaining confidentiality and attention to detail.

Key Responsibilities

Administrative & Office Support

Manage daily office administrative activities and maintain an organized office environment.
Answer and direct phone calls, emails, and other correspondence.
Schedule meetings, appointments, inspections, and other business activities.
Prepare letters, forms, reports, spreadsheets, correspondence, and other documents.
Maintain electronic and physical filing systems.
Enter, update, and maintain company and project information in databases and spreadsheets.
Order and maintain office supplies and coordinate routine office needs.
Assist management and project personnel with administrative tasks as needed.
Maintain calendars, deadlines, renewal dates, and follow-up items.

Compliance & Regulatory Support

Assist with routine compliance reviews and maintain compliance documentation.
Track licenses, permits, certificates, registrations, renewals, and expiration dates.
Research and monitor administrative requirements applicable to the company's operations.
Prepare and organize documentation required for regulatory, licensing, or compliance submissions.
Maintain accurate records of completed compliance requirements and outstanding items.
Coordinate with management, government agencies, municipalities, vendors, and other parties regarding administrative requirements.
Follow up on outstanding compliance items and notify management of upcoming deadlines.

Business Registrations & Corporate Records

Prepare and submit business registration and renewal documents.
Maintain records for company registrations, licenses, certificates, permits, and related filings.
Track renewal deadlines and ensure timely submission of required paperwork.
Assist with registrations in municipalities, states, agencies, vendor systems, and other applicable platforms.
Maintain organized copies of confirmations, receipts, certificates, and correspondence.
Research registration requirements and coordinate with appropriate agencies when necessary.

Project Submittals & Documentation

Prepare, assemble, and submit project-related documentation according to established requirements.
Track project submittals, approvals, revisions, and outstanding documents.
Maintain project files and ensure required documentation is complete and properly organized.
Coordinate with project managers, clients, contractors, vendors, municipalities, and other stakeholders.
Monitor submission deadlines and follow up on pending approvals or requested revisions.
Maintain logs of submitted documents, dates, status, and required follow-up.
Assist with preparation of proposals, bids, qualification packages, permits, certificates, and other project documentation.

Records & Document Control

Maintain accurate electronic and paper records.
Establish consistent naming, filing, and document-control procedures.
Ensure current versions of forms and documents are used.
Scan, copy, distribute, and archive documents as needed.
Protect confidential company, employee, client, and project information.
Assist with document retention and organization.

Communication & Coordination

Serve as a professional point of contact for routine administrative inquiries.
Communicate with clients, vendors, government offices, municipalities, subcontractors, and other business contacts.
Draft professional emails and correspondence.
Coordinate information between office staff, management, and field/project personnel.
Follow up on outstanding requests and provide status updates.

Qualifications

High school diploma or equivalent required; additional administrative or business education is a plus.
2+ years of office administration, secretary, administrative assistant, project administration, or similar experience preferred.
Strong organizational and time-management skills.
Excellent written and verbal communication skills.
Strong attention to detail and accuracy.
Ability to manage multiple projects, deadlines, and priorities.
Proficiency with Microsoft Office, including Word, Excel, Outlook, and PDF/document-management tools.
Comfortable learning online registration, permitting, compliance, and project-submittal systems.
Ability to work independently while also supporting a team.
Professional, dependable, and service-oriented attitude.
