Lead Medical Assistant – Primary Care

Yorktown Health Lisle Primary Care Center

Yorktown Health is seeking an experienced and dependable Lead Medical Assistant to support our primary care office in Lisle. This position is ideal for a medical assistant who enjoys working directly with providers while also taking ownership of clinical workflows, staff training, inventory, and day-to-day clinical operations.

The Lead Medical Assistant will play an important role in keeping the office organized, improving patient flow, and helping providers work efficiently throughout the day. This is a hands-on position that includes regular medical assistant responsibilities in addition to leadership and operational duties.

Key Responsibilities

Provider and Patient Care Support

Prepare patients for examinations and procedures.
Obtain and document vital signs, medication lists, allergies, medical history, and the reason for the visit.
Review charts before appointments to identify missing records, outstanding orders, preventive care needs, and incomplete documentation.
Assist providers with examinations, minor procedures, testing, and treatments.
Ensure examination rooms are properly stocked, cleaned, and prepared.
Process medication refill requests, patient messages, and clinical tasks according to provider instructions.
Coordinate laboratory testing, imaging orders, referrals, and follow-up care.
Help providers stay on schedule by anticipating clinical needs and minimizing delays.
Monitor provider schedules and proactively address issues that may affect patient flow.

Clinical Workflow and Patient Flow

Oversee daily clinical workflows to ensure patients are roomed promptly and providers receive the support they need.
Assign clinical responsibilities and adjust coverage based on provider schedules and patient volume.
Identify workflow problems and recommend practical solutions.
Monitor wait times, room availability, incomplete charts, and outstanding clinical tasks.
Ensure clinical messages, results, referrals, and provider orders are completed accurately and promptly.
Work closely with the practice manager and front desk team to maintain efficient communication between clinical and administrative staff.
Assist with coverage when the office is short-staffed or patient volume is high.

Staff Training and Leadership

Train and onboard new medical assistants on office procedures, clinical workflows, documentation standards, and provider preferences.
Serve as the primary clinical resource for medical assistant questions.
Reinforce Yorktown Health policies, patient service expectations, and clinical standards.
Provide ongoing coaching and feedback to medical assistant staff.
Help ensure clinical responsibilities are completed consistently and accurately.
Lead by example through professionalism, accountability, teamwork, and excellent patient care.
Communicate performance or workflow concerns to the practice manager.

Supplies, Inventory, and Compliance

Monitor clinical and laboratory supplies and place orders before inventory becomes low.
Maintain an organized inventory system and prevent unnecessary overordering or waste.
Track expiration dates and remove expired medications, supplies, and testing materials.
Ensure vaccines, medications, and temperature-sensitive products are stored and monitored appropriately.
Maintain accurate refrigerator and freezer temperature logs when applicable.
Ensure examination rooms, laboratory areas, medication storage areas, and clinical workspaces remain clean and compliant.
Help maintain OSHA, HIPAA, infection-control, and workplace safety standards.
Confirm required logs, quality-control records, and equipment checks are completed.
Assist with preparation for audits, inspections, and compliance reviews.

Qualifications

At least 3 years of medical assistant experience required.
Previous primary care or internal medicine experience strongly preferred.
Previous lead, training, or supervisory experience preferred.
Medical Assistant certification or registration preferred.
Current CPR or Basic Life Support certification preferred.
Experience with electronic health records; eClinicalWorks experience is a plus.
Strong understanding of clinical workflows, patient preparation, medication reconciliation, referrals, laboratory procedures, and provider support.
Ability to manage multiple priorities in a fast-paced medical office.
Strong leadership, communication, organization, and problem-solving skills.
Professional, dependable, and comfortable holding team members accountable.
Must maintain patient confidentiality and comply with HIPAA requirements.

What Success Looks Like in This Role

A successful Lead Medical Assistant will:

Help providers remain on schedule and prepared for each patient.
Reduce delays caused by missing information, supplies, or incomplete clinical tasks.
Maintain efficient and consistent patient flow.
Ensure the medical assistant team understands and follows office procedures.
Keep clinical supplies organized, available, and within expiration dates.
Identify problems early and take initiative to resolve them.
Create a positive, accountable, and patient-focused clinical environment.

Physical Requirements

Ability to stand and walk for extended periods.
Ability to assist patients safely when needed.
Ability to lift and carry medical supplies and equipment consistent with the position.
Ability to perform repetitive clinical and administrative tasks throughout the workday.
