Full Job Description

B-Influenced is looking for a highly organized, proactive, and resourceful Personal Assistant to work directly with our Founder/CEO. This is a hands-on role combining administrative support, organization, events, travel coordination, and occasional content creation.

We are looking for someone who can take ownership of tasks from start to finish, anticipate needs, and eventually operate in a way where they are helping keep leadership aligned, organized, and on track—often identifying priorities before they are assigned.

Responsibilities

Manage calendar, appointments, meetings, reminders, and daily priorities
Assist with emails, follow-ups, documents, and general administrative tasks
Use Notion to organize tasks, systems, and workflows
Use Canva to assist with simple design needs, presentations, and content assets
Coordinate travel including flights, hotels, transportation, reservations, itineraries, and daily agendas
Support occasional domestic and international travel
Receive, organize, and track PR packages, products, and event inventory
Prepare shipments, influencer gifting, and event materials
Assist with brand events, influencer activations, photoshoots, and business travel
Coordinate reservations, vendors, pickups, returns, and local errands, including NYC trips when needed
Maintain an organized office and manage supplies and incoming/outgoing packages
Capture behind-the-scenes photos and short-form content for Instagram/TikTok
Assist with basic content creation and light video editing for social media
Support occasional personal appointments, reservations, purchases, and administrative needs
Follow up on tasks and ensure completion from start to finish
Help keep leadership aligned, organized, and ahead of schedule

Ideal Candidate

Extremely organized, reliable, and detail-oriented
Proactive and able to anticipate needs without constant direction
Strong communication and follow-up skills
Bilingual English/Spanish preferred
Strong written and verbal communication in English
Comfortable working in a fast-paced environment with shifting priorities
Strong interest in social media, influencer marketing, and PR (required)
Familiar with Instagram and TikTok trends and content workflows
Comfortable using Notion and Canva, or willing to learn quickly
Basic content creation and video editing skills (required at a basic level)
Must have a valid driver’s license and own vehicle
Comfortable running local errands and traveling to NYC when needed
Available to work in-office during scheduled hours
Open to occasional domestic and international travel
Comfortable handling packages, shipments, and event logistics
Self-starter who can eventually help structure priorities and keep leadership accountable

Previous assistant experience is a plus, but we are open to an entry-level candidate with the right mindset, organization skills, and willingness to learn.

This role is ideal for someone who thrives in organization, loves being hands-on, and wants to grow into a position where they are not just executing tasks—but actively helping shape structure, priorities, and flow.

Pay: $18.00 per hour
