Description

Job Description Summary

SUMMARY: Under general supervision provides various staff support services to the City’s Financial Services department; performs variety of tasks including managing correspondence scheduling meetings handling financial documentation and assisting with budgeting and financial reporting.

ESSENTIAL FUNCTIONS: Essential functions; as defined under the Americans with Disabilities Act; may include any of the following representative duties; knowledge; and skills. Factors such as regular attendance at the job are not routinely listed in job descriptions; but are an essential function. Essential duties and responsibilities may include; but are not limited to; the following:

Prepares; edits; and sends correspondence on various matters.
Helps with proofreading and formatting documents.
Completes data entry in Excel Spreadsheets.
Assists in maintaining the filing and record retention process for City Finance staff.
Opens; sorts; and distributes incoming mail and processes outgoing mail; including bulk mailings.
Assist in the preparation and maintenance of financial reports; budgets; and other documentation.
Process invoices; purchase orders; and expense reports.
Assist in the preparation for audits and coordinate with auditors as needed.
Generate financial reports and summaries as required by the Director of Finance.
Order and maintain office supplies for the finance department.
Coordinate travel arrangements and process travel reimbursements.
Acts as backup for the utility clerks; processing payments; and day-end processing.
Supports the relationship between the City of Plainview and the general public by demonstrating courteous and cooperative behavior when interacting with citizens; visitors; and City staff; maintains confidentiality of work-related issues and City information; performs other duties as required or assigned.

Knowledge and Skills:

Knowledge:
City policies and procedures.
Modern office procedures, practices and equipment.
Principles and practices of basic bookkeeping and the general ledger.
Customer service principles and practices.
Skill in:
Multi-tasking.
Strong organizational and time-management skills.
Communicating effectively verbally and in writing
Using a personal computer and several software applications.

Minimum Qualifications

High School diploma or equivalent; AND two years of advanced staff support experience; OR an equivalent combination of education and experience.

Physical Requirements

Work is performed primarily in a standard office environment. May be required to lift and carry items weighing up to 50 pounds.
