Job Summary
The Associate Director is responsible for developing organizational goals, operating plans, policies, and procedures for the organization. Will manage the organization operations by directing and coordinating activities consistent with the strategic plan. This executive is responsible for leading the effective daily operations of the organization, staff/peer resources, and operations to enable the maximization of services, ensuring outstanding support and customer service in compliance with laws, policies, and standards.
Responsible for program administrative and operation staff and works closely with the Chief Executive Officer, Board of Directors and Senior Staff.
Essential Functions:
Administrative
- Manage the day-to-day operations of the organization.
- Oversees and contributes to general business planning regarding technology systems and anticipates organizational modifications required to maintain organizational operations.
- Works with the President/CEO, Board of Directors, Program Manager and Senior staff to provide information and help for replicating Recovery concept in other locales and actively pursuing ways and means to serve a larger constituency.

- Provides back-up for Chief Executive Officer and Program Manager when required due to leave or other absence.
- Oversee the adequacy and soundness of the financial structure. Direct preparation of the annual budget in consultation with the departmental directors and the Director of Finance to allocate funds, control costs and maintain operations to meet budget targets.
- Collaborate with key funding sources including managed care organizations, SAMHSA, DSHS, HHS, HRSA, and as appropriate, private donors and foundations to promote recovery support services and maximize revenue.
- Creatively seek ways to assist the executive team and Board of Directors in the funding and implementation of programs that support the organization’s mission.
- Review operating results of the organization, compare them to established objectives, and take steps to ensure that appropriate measures are taken to correct unsatisfactory results.
- Establish and maintain an effective system of communication throughout the organization and act as the spokesperson in cultivating relationships with the media, service organizations, Board of Directors, community organizations and financial donors.
Supervisory Responsibilities
- Plan, coordinate and control the daily operations of the organization through managers to include: Program Manager, Operations Director, and Business Development Director.
Community and Public Relations
- Associate Director holds outreach responsibilities and works closely with the Chief Executive Officer to present a strong, positive image of the organization’s programs, products and services to relevant stakeholders.
- Assist with the production of key communication tools such as an e-newsletter, other electronic sources.
- Assist with the production of outreach materials (displays, brochures, flyers, articles, press releases, website and background materials)
- Serve as a spokesperson for organization at site tours, events, media interviews, etc.
Fundraising and Donor Relations
- APAA is dependent on a diversified and successful fundraising plan. The Associate Director manages and implements the fundraising plan with the assistance of the Chief Executive Officer and the Board of Directors (Board).
- Assist with the development of a strategic long-term fund-raising plan
- Participate in fundraising for general administration, programs, site development and maintenance, through grant writing, donor appeals, capital campaigns, special events, earned income, etc.
- Assist the Chief Executive Officer in developing and maintaining excellent relationships with grant funders, and both private and corporate donors
- Conduct grant research, writing, and reporting in collaboration with the Chief Executive Officer and program directors.

Qualifications
- Minimum Masters Degree level and/or five years’ experience in nonprofit management and fundraising, including donor relations, grant writing and reporting.
- Strong communication skills, including public speaking and writing.
- Experience working with volunteers, non-profits, and community-based organizations.
- Ability to work independently and as part of a team.
- Ability to use computers, including proficiency with Microsoft Word, Excel, and Outlook
- Excellent organizational skills and the ability to handle multiple demands.
- Experience working with people of diverse backgrounds, including children, the elderly, and people of diverse cultures.
- Familiarity with the philanthropic community and local funders desired
- Experience in the areas of behavioral health field, considered a plus.
