Full Job Description

The Group Sales Coordinator provides vital administrative and operational support to the Group Sales team, ensuring the timely management of sales leads, client requests, reporting, and departmental processes. This position serves as a key liaison between sales managers, clients, and internal departments by coordinating lead distribution, maintaining sales systems and records, supporting reservation and travel arrangements, and assisting with special projects. The Group Sales Coordinator plays an integral role in driving efficiency, accuracy, and exceptional customer service while supporting the achievement of the organization's group sales objectives.

Key Responsibilities:

Assist Group Sales team with completing client contracts and amendments.
Responsible for managing and entering deposits received in Delphi, group profiles, comments, function space, etc.
Assist with managing new client proposals and sending communications to clients including contracts, thank you letters, etc.
Build new accounts in Delphi based on trade show requirements.
Make travel and reservations arrangements for the Sales team, conduct site inspections, and serve as a liaison to clients.
Maintain administrative paperwork including association mailings, processing faxes, scanning, filing, phones, collateral requests, memos, drafting letters, copying, etc.
Assist the Sales team with processing expense reports, scheduling meetings and assisting managers with all other administrative tasks as requested.

Back up to Delphi Systems Analyst

Assist with Group room block management, Group Profiles, Pick-ups, etc.
Delphi data entry and general administrative responsibilities
Travel Expense Calendar, update as needed
Maintain Group Sales iPad control/log and keep iPads up to date.
Enter pickup rates on a weekly basis and mark bookings “pickup complete” once group has departed

Back up to Leisure Team

Assist with monitoring Leisure sales inbox inquiries
Perform all other duties as directed.

Position Requirements:

Associates degree in business or work experience equivalent.
1+ years’ experience in an administrative role, preferably within the hospitality industry.
Strong verbal and written communication skills.
Intermediate knowledge of MS Office
Detail oriented and ability to work independently.
