Full Job Description

Part Time Office Manager – Accounting Firm Position

We are growing! Looking for an Office Manager to provide administrative and clerical support to our accounting firm to help ensure efficient daily operations and excellent client service. This position assists accounting staff with document preparation, data entry, scheduling, client communications, filing, and general office duties. The ideal candidate is organized, dependable, detail-oriented, professional, and comfortable working with confidential financial information.

Essential Duties and Responsibilities

· Greet clients and visitors in a professional and courteous manner.

· Answer, screen, and direct incoming telephone calls.

· Respond to routine client inquiries and direct accounting-related questions to the appropriate staff member.

· Schedule appointments and maintain calendars.

· Receive, sort, scan, copy, and distribute mail and documents.

· Organize and maintain electronic and paper files.

· Enter client and financial information accurately into accounting and office systems.

· Assist with preparation, assembly, and distribution of tax returns, financial statements, reports, and other client documents.

· Maintain organized client records and ensure documents are properly filed.

· Assist with scanning, printing, copying, faxing, and document management.

· Prepare correspondence, letters, forms, and other office documents as requested.

· Assist with tax-season administrative duties, including organizing client documents and tracking outstanding information.

· Process incoming and outgoing documents and packages.

· Maintain office supplies and assist with ordering supplies when needed.

· Assist with billing, payment processing, and basic bookkeeping or administrative tasks as assigned.

· Maintain confidentiality of client, employee, and firm information.

· Support accountants and management with special projects and other administrative duties.

· Perform other duties as assigned.

Qualifications

· Associate or Bachelor’s degree required. Business degree preferred.

· At least 2 years of previous office, administrative, customer service, or accounting-office experience required

· Basic knowledge of Microsoft Word, Excel, and other office software.

· Strong organizational and time-management skills.

· Excellent attention to detail and accuracy.

· Professional telephone and interpersonal communication skills.

· Ability to prioritize multiple tasks and meet deadlines.

· Ability to work independently while also functioning effectively as part of a team.

· Ability to handle confidential information with discretion.

· Accounting or bookkeeping experience is a plus but not required.

· Must be able to work up to an additional 10 hours a week during tax season (Jan-April 15th)

Pay: $18.00 - $22.00 per hour
