Full Job Description

We’re looking for a high-functioning Senior Administrator or Junior Executive Assistant to support the CEO of an affordable housing organization in San Jose. This is a high-visibility, high-ownership role focused on keeping projects, communication, and operations tight and on track.

You’ll organize current projects, manage deadlines by department, coordinate board meetings, and respond to time-sensitive emails. You’ll also support the leadership team and work directly with our Board of Directors, taking minutes, managing calendars, and handling sensitive documents with precision and confidentiality.

Key Responsibilities

· Organize and track current projects by site, department, and timeline

· Coordinate Board meetings, take minutes, and manage follow-up tasks

· Manage CEO’s calendar, prioritize inbox, and handle appointment requests

· Respond to internal/external communications on behalf of the CEO

· Maintain and organize key documents requiring executive attention

· Recommend and implement systems to improve visibility and task tracking

Tools & Skills

· Must be computer savvy (Outlook, Google Suite, task/project tools—flexible)

· Open to building or implementing new systems for workload management

· High attention to detail, strong written communication, and EQ

· Strong judgment, confidentiality, and attention to detail

· Experience managing calendars, communications, and multi-department coordination

· Proactive mindset, you solve problems before they show up

· Clear, professional communication skills (written + verbal)

· The ability to keep pace in a high-accountability, mission-driven environment

Collaboration & Access

· You’ll work with the Board, leadership team, and department heads

· Must be able to keep pace, protect time, and stay steps ahead

This is a full-time role, Monday through Friday, 9 AM to 5 PM. Pay is DOE. If you’re obsessed with keeping things organized, and thrive under pressure, please apply.
