Job Overview

We are seeking a highly organized and detail-oriented Surgical Scheduler to join our dynamic healthcare team. In this vital role, you will coordinate surgical procedures by scheduling operations, managing patient appointments, and ensuring seamless communication between patients, physicians, and surgical staff. Your proactive approach and excellent administrative skills will contribute to delivering exceptional patient care and operational efficiency. This position offers an engaging environment where your expertise in medical scheduling and health information management will make a meaningful difference in patient outcomes.

Responsibilities

Schedule surgical procedures accurately using an electronic health record (EHR) systems
Coordinate with physicians, surgical teams, anesthesia providers, and patients to confirm dates, times, and necessary pre-operative preparations
Review medical records and documentation to ensure completeness and compliance with clinical confidentiality policies before scheduling surgeries
Manage appointment calendars efficiently while prioritizing urgent cases and accommodating patient needs
Verify insurance coverage, including Medicare and health insurance policies, ensuring proper authorization for procedures
Communicate clearly with patients via phone or in person regarding pre-op instructions, documentation review, and follow-up care requirements
Collaborate with billing departments to facilitate accurate medical billing and collection processes related to surgical procedures
Utilize computer skills to update electronic health records accurately while adhering to HIPAA regulations for patient privacy
Provide exceptional customer service at the front desk by assisting patients with inquiries and managing medical office administrative support tasks

Qualifications

Proven experience in medical scheduling within a clinical or hospital setting, preferably in ambulatory surgical center
Strong knowledge of EMR/EHR systems
Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment
Knowledge of health insurance processes including Medicare and other third-party payers is highly desirable
Proficiency in Microsoft Office applications such as Word and Excel for administrative tasks
Prior experience working with clinical confidentiality policies and HIPAA compliance standards
Strong phone etiquette, typing skills (including 10-key), and attention to detail for accurate data entry
Previous clinic or medical office experience involving medical records management and front desk responsibilities is preferred
