The Role
We are looking for a Project Coordinator to support Digital Signage initiatives and specifically someone who thrives on organization, communication, and execution while coordinating multiple moving pieces across large-scale installation programs.
In this role, you will work closely with Project Managers to coordinate project activities from kickoff through final deployment. You'll help keep projects on track by managing schedules, documentation, communications, field coordination, and day-to-day administrative activities that enable successful project delivery.
Every project is different, and every group of stakeholders has different priorities. You'll coordinate activities across clients, technicians, vendors, and internal teams while ensuring information flows efficiently and everyone stays aligned.
Success in this role comes from exceptional organization, attention to detail, proactive communication, and the ability to anticipate issues before they become problems.
Projects move quickly. Schedules change, equipment availability shifts, site conditions evolve, and priorities adjust daily. Your role is to help keep everything organized, communicate changes clearly, and ensure the team has the information needed to deliver successfully.
Key Tasks and Responsibilities:
- Coordinate day-to-day project activities, schedules, documentation, and communications to support successful project delivery
- Assist Project Managers with project planning, execution, reporting, and closeout activities
- Schedule project meetings, prepare agendas, document meeting minutes, and track action items to completion
- Coordinate technician schedules, site visits, travel arrangements, and installation activities
- Communicate with clients, vendors, field technicians, and internal teams to ensure timely project updates and issue resolution
- Track project milestones, deliverables, schedules, and equipment status while identifying potential risks or delays
- Coordinate site readiness activities, field verification, and installation documentation
- Manage project documentation, including drawings, permits, reports, change requests, and client deliverables
- Support procurement activities by coordinating equipment orders, shipments, and delivery schedules
- Monitor project progress and maintain accurate records within project management systems
- Assist with project financial administration, including purchase orders, invoices, budgets, and project reporting
- Support installation teams by coordinating logistics and helping remove roadblocks throughout project execution
- Coordinate project closeout activities, including documentation, punch lists, training coordination, and final client handoff
- Contribute to continuous improvement initiatives by identifying opportunities to improve project coordination processes

Qualifications:
- 1+ years of project coordination, project administration, or related experience
- Experience supporting digital signage, AV, construction, retail technology, or similar projects is preferred
- Strong organizational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent written and verbal communication skills
- Strong proficiency with Microsoft Office, particularly Excel, Word, and Outlook
- Experience using project management software is an asset
- Familiarity with architectural drawings, construction documentation, or installation projects is considered an asset
- Ability to work collaboratively across multiple departments while maintaining exceptional attention to detail

Location:
This position is in the Hollywood, Florida office, with an opportunity for a hybrid work model (office and work from home)
