Event Assistant (Décor & Wedding Coordination)

Position Overview
Creations n Occasions is a growing event décor and wedding planning company seeking a reliable, detail-oriented assistant to support upcoming events.
This is an ongoing, event-based position, not a guaranteed or fixed weekly schedule. Hours will vary depending on our upcoming weddings, celebrations, installations, and other events. This opportunity is ideal for someone seeking flexible, occasional work who enjoys being creative, working behind the scenes, and helping bring beautiful events to life.
The selected candidate may assist with event decorating, wedding coordination, or both, depending on their skills and experience. Training and clear instructions will be provided.
Event Décor Responsibilities
- Assist with loading, unloading, setting up, and breaking down event décor
- Follow design instructions and help execute an established creative vision
- Arrange backdrops, balloons, florals, linens, props, centerpieces, and other décor elements
- Pay close attention to placement, spacing, symmetry, cleanliness, and finishing details
- Safely climb ladders and work at varying heights when necessary
- Carry and move event materials, equipment, and décor items
- Keep supplies, tools, and work areas clean and organized
- Carefully handle company inventory and client property
- Help ensure each setup is completed correctly and on time
Wedding Planning & Coordination Responsibilities
- Assist with reviewing vendor information, layouts, contracts, and master schedules before the wedding
- Help create and follow detailed wedding-day timelines
- Communicate clearly and professionally with couples, families, wedding parties, and vendors
- Serve as a vendor point of contact and help direct deliveries, setup questions, and event logistics
- Assist with lining up the wedding party and coordinating the ceremony processional
- Cue music, speeches, entrances, formal dances, and other important moments
- Help manage transitions throughout the ceremony and reception
- Remain calm and solution-focused when unexpected situations arise
- Handle concerns discreetly so the couple can enjoy their celebration
- Show patience, empathy, and professionalism when working with clients and their families
- Assist with emergency supplies and last-minute event needs
Qualifications
- Reliable, punctual, responsible, and professional
- Must have a valid driver’s license, reliable transportation, and the ability to drive to event locations throughout South Florida
- Strong attention to detail and the ability to follow instructions
- Able to work independently and as part of a team
- Able to climb ladders and safely carry event materials
- Strong time-management and organizational skills
- Clear and respectful communication
- Calm under pressure with good problem-solving skills
- Friendly, patient, and comfortable working with clients, families, and vendors
- Event décor, hospitality, wedding, or customer-service experience is preferred but not required
- Willingness to learn and accept feedback
Schedule Requirements
Applicants must have genuine flexibility for event-based scheduling, including:
- Weekends
- Friday rehearsals
- Early mornings
- Late-night setups and breakdowns
- Occasional holidays
- Shifts scheduled according to upcoming events
Some events may require several hours of work, while others may only require assistance with setup, breakdown, or specific portions of the event. Weekly hours are not guaranteed.
