Full Job Description

We are seeking an energetic and detail-oriented Head Receptionist / Guest Services Supervisor to lead our front desk operations and deliver exceptional guest experiences. In this pivotal role, you will oversee daily reception activities, manage a multi-line phone, and ensure smooth administrative workflows. Your leadership will set the tone for a welcoming environment, fostering positive client interactions and efficient office management. This paid position offers an exciting opportunity to showcase your organizational skills and customer service expertise in must love dogs environment.

Responsibilities

Supervise front desk staff, ensuring high standards of customer service and professional phone etiquette
Manage answering inquiries promptly and accurately
Oversee front desk management tasks including filing, calendar management, and maintaining out resort software and incoming boarders and daycare dogs with operational efficiency
Coordinate client communication, scheduling appointments, and supporting personal assistant functions as needed
Handle clerical duties and ensure all inquiries are followed up on
Support guest services by greeting visitors warmly, managing check-in/check-out procedures, and addressing guest needs promptly
Assist in training new team members on front desk procedures, software skills, and customer service support protocols

Skills

Ability to communicate effectively with diverse clients and team members
Strong office management experience with excellent organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general computer literacy
Demonstrated clerical experience including phone answering, filing, proofreading, and data entry
Exceptional customer service skills with a focus on front desk operations and client communication
Ability to handle phone lines with professionalism and efficiency
Excellent time management skills to prioritize tasks in a fast-paced environment
Personal assistant experience or calendar management expertise is highly desirable
Strong organizational skills combined with attention to detail for proofreading and document accuracy

Experience

Experience: 2 or more years of work experience in customer service, hospitality, or an lead administrative receptionist role.
Leadership: Proven ability to train, motivate, and supervise staff, including making shift schedules.
Communication: Excellent verbal and written communication skills to deal with clients, guests, and staff.
Technical Skills: Good computer literacy, including Microsoft Office and software
Team Management: Oversee daily duties, monitor attendance, and train new reception staff.
Customer Care: Greet clients and their dogs with high service standards, and resolve complaints.
Operations: Manage check-ins, phone systems, appointments, and general front desk tidiness.
Administration: Ensure all messages, requests, orders, reservations, etc are followed up on and completed
