Full Job Description

Office Manager / Construction Administrator

CMR Construction is a growing construction company committed to delivering high-quality projects safely, on time, and within budget. We are looking for an experienced Office Manager / Construction Administrator to oversee the daily operations of our office and provide administrative, accounting, and project support to our construction team.

The ideal candidate is organized, detail-oriented, comfortable working in a fast-paced construction environment, and experienced with QuickBooks and Microsoft Office.

ResponsibilitiesOffice Administration

Manage the day-to-day operations of the office.
Maintain organized digital and paper filing systems.
Prepare correspondence, reports, contracts, and project documentation.
Order and maintain office supplies and equipment.
Assist management with administrative duties as required.

Accounting & QuickBooks

Process accounts payable and accounts receivable.
Prepare customer invoices and track payments.
Enter vendor bills and reconcile accounts.
Assist with payroll processing.
Maintain job costing information and project budgets.
Process purchase orders, subcontractor invoices, and change orders.
Generate financial reports as requested.

Project Administration

Prepare project files, permits, contracts, and closeout documents.
Track project schedules, milestones, and deadlines.
Maintain accurate project records and documentation.
Coordinate communication between the office, field staff, subcontractors, suppliers, and clients.

Customer Service & Communication

Answer incoming telephone calls and respond to emails professionally.
Assist customers with questions and provide project updates.
Schedule appointments, meetings, and site visits.
Communicate effectively with suppliers, subcontractors, inspectors, and clients.

Scheduling & Coordination

Coordinate calendars for management and project staff.
Schedule inspections, deliveries, and subcontractor activities.
Monitor project timelines and follow up on outstanding items.

General Office Support

Maintain confidentiality of company information.
Support management with reports and special projects.
Perform additional duties as assigned to support office and field operations.

Qualifications

Minimum 2 years of administrative or office management experience (construction industry preferred).
Proficiency with QuickBooks.
Strong working knowledge of Microsoft Office (Word, Excel, Outlook).
Excellent organizational and time-management skills.
Strong written and verbal communication skills.
Ability to prioritize multiple tasks and meet deadlines.
Professional customer service skills.
Experience with construction documentation, invoicing, scheduling, and job costing is considered a strong asset.
Ability to work independently while contributing to a collaborative team environment.
