About Us:

The Dearie Law Firm, P.C., located in New York, NY, has been representing individuals in various personal injury cases for nearly four decades. The firm specializes in construction site accidents, post-9/11 toxic exposure, motor vehicle accidents, premises liability, workers’ compensation, and medical malpractice cases.

Job Summary:

We are seeking a detail-oriented Mailroom/File Room Clerk to assist in organizing and maintaining our legal records and managing all incoming and outgoing mail. The Clerk will play a crucial role in ensuring that case files are accurately organized, easily accessible, and securely stored. This position requires excellent organizational skills, attention to detail, and the ability to handle confidential information. This is an on-site role.

Key Responsibilities:

· Sort and distribute incoming mail and packages to appropriate staff and departments.

· Scan all incoming mail in accordance with the firm’s document categorization, sub- categorization, and description policies to ensure proper organization in the case management system.

· Process all outgoing mail, including USPS, USPS Certified Mail, FedEx, and other courier services, ensuring proper postage and timely delivery.

· Operate and maintain the postage machine, ensuring accurate postage for all outgoing items.

· Maintain and organize the firm’s physical and digital filing systems.

· File legal documents and correspondence in accordance with the firm’s procedures.

· Assist in scanning, copying, and archiving case-related materials.

· Ensure timely retrieval and delivery of documents and files for attorneys and paralegals.

· Perform general clerical tasks as needed to support office operations.

Qualifications:

· A minimum of 2 years of experience in a law firm mailroom or similar roles where familiarity with document categorization policies is essential.

· Strong organizational skills and attention to detail.

· Prior experience in a legal office or records management role preferred.

· Ability to handle confidential and sensitive information with discretion.

· Proficiency in MS Office and familiarity with document management systems.

· Strong understanding of electronic document conversion and printing

· Excellent communication skills and a customer service-oriented attitude.

· Ability to work independently as well as collaboratively within a team.

· Physical ability to lift, carry, and move file boxes and perform repetitive tasks.

Schedule:

· 20-40 hours per week

· 8 hour shift from 9:00am – 5:00pm, Monday – Friday
