Office Manager / Director of Administration

MLM Tree Service – Portage, MI

Help Build the Backbone of a Growing Company

MLM Tree Service is looking for an exceptional Office Manager who loves organization, solving problems, and making sure nothing falls through the cracks.

This isn’t just an office job. You’ll become the person who keeps our company organized while the owner focuses on growing the business and serving customers.

If you enjoy taking ownership, improving systems, and making businesses run efficiently, we’d love to meet you.

Responsibilities

Financial & Administrative

Pay bills and ensure all payments are made on time
Organize invoices and company expenses
Work with QuickBooks
Keep financial records organized
Track recurring payments and subscriptions

Insurance Management

Manage business insurance policies
Coordinate workers’ compensation
Vehicle and equipment insurance
Obtain certificates of insurance
Handle claims and communicate with insurance companies
Shop policies and compare pricing when renewals come up

Fleet & Equipment Administration

Track vehicle registrations
Schedule license renewals
Monitor DOT compliance paperwork
Keep maintenance records organized
Track warranties and important documentation

Human Resources

Employee onboarding paperwork
Maintain employee files
PTO and payroll recordkeeping
Help coordinate hiring
Organize training records and certifications

Office Operations

Answer phones and assist customers
Schedule estimates and appointments
Organize paperwork and digital files
Keep permits, licenses, and important documents current
Create systems that make the business run more efficiently

Project Coordination

Follow up on outstanding tasks
Keep the owner informed of deadlines
Ensure nothing gets forgotten
Coordinate with vendors, suppliers, and service providers

We’re Looking For Someone Who:

Is extremely organized
Takes initiative without being asked
Notices problems before they become emergencies
Enjoys creating systems and improving processes
Can prioritize multiple tasks
Is trustworthy and professional
Communicates well with customers and employees
Learns new software quickly
Has experience with QuickBooks or similar accounting software (preferred)

Bonus Skills

Experience in construction, tree service, or a service business
HR or payroll experience
Insurance or bookkeeping knowledge
Microsoft Office and Google Workspace experience

Compensation

Pay based on experience, reliability, and ability to take ownership of the position.
