Full Job Description

Position Summary

The Human Resources Coordinator is an in-person, hourly position responsible for supporting core HR operations, including staffing, benefits, and employee relations. The role reports to the associate vice-president for Human Resources and serves as the first point of contact for the Human Resources Office, greeting and directing visitors and responding to phone and email inquiries. This position provides administrative and clerical support across a range of HR functions and contributes to the efficient and accurate delivery of HR services to faculty, staff, retirees, and student employees.

Essential Duties and Responsibilities

Serve as the first point of contact for the Human Resources Office, greeting visitors and responding to phone and email inquiries
Provide prompt, courteous, and accurate support to faculty, staff, retirees, and students
Assist with hiring, onboarding, employment changes, and separation processes
Review and process employment documentation, including tax forms, I-9 verification, and E-Verify reporting
Provide general office support such as answering phones, greeting visitors, processing mail, filing, scanning, and ordering supplies
Maintain accurate HR records and enter/update employee data in HRIS and related systems
Generate reports and support data integrity and compliance, including qualified driver logs and employment verifications
Support payroll processes by ensuring accurate pay and tax withholding data
Collaborate with administrative computing staff to optimize HR system use (e.g., Hornet HQ, Perceptive Content)
Assist with communication materials, web updates, and recruitment postings
Assist with employee relations activities and events
Perform other duties and special projects as assigned

Qualifications

The successful candidate will demonstrate many of the following skills, abilities, and characteristics:

Required

Associate’s degree required
One or more years of experience in an administrative or office support role
Strong interpersonal skills and a customer service orientation
Ability to work effectively in a collaborative, in-person team environment
Excellent organizational skills with a high level of accuracy and attention to detail
Strong written and verbal communication skills
Ability to manage multiple priorities, remain flexible, and handle frequent interruptions
Proficiency with Microsoft Word, Excel, and Teams; ability to learn new systems quickly
Basic computer skills, including accurate typing, data entry, and use of databases and spreadsheets
Ability to maintain confidentiality and exercise sound judgment and discretion

Preferred

Bachelor’s degree strongly preferred
Experience in human resources or higher education
Familiarity with HRIS systems (e.g., Ellucian Colleague/Banner, PayCor, Employee Navigator)
Bilingual (read, write, speak) in Spanish or French

Physical Requirements and Working Conditions

This is an in-person position located on the Kalamazoo College campus
Work is performed in an office and campus environment with strong use of computers
Requires the ability to read, write, handle documents, and perform data entry
Occasional lifting of up to 20 pounds
Regular movement between campus buildings may be required
