This opportunity is for a position at our Moorpark clinic. Our Moorpark clinic is a thoughtfully designed space that features three treatment rooms and sees approximately 20 patients per day. Meet Our Founder: Josie Arrigoni, MSN, NP-BC
Josie Arrigoni, a board-certified nurse practitioner specializing in aesthetic medicine, founded Functional Beauty with a vision to redefine beauty through purpose-driven care. With a Master’s in Nursing from UCLA and advanced training in facial harmonization and regenerative treatments, Josie’s expertise is matched only by her dedication to making a lasting impact. As a Revance Faculty Trainer with a passion for educating others in the field, she is deeply committed to elevating industry standards and mentoring fellow practitioners. Ultimately, Josie believes that aesthetic medicine is not just about appearance, it’s about confidence, empowerment, and self-love.

Patient Coordinator/Medical Assistant Qualifications & Responsibilities
As a Patient Coordinator/Medical Assistant at Functional Beauty, you are the face of our brand, the first and last person our patients see during their visit. This role combines clinical support responsibilities with patient care coordination, requiring you to assist 2 providers simultaneously while maintaining warmth, enthusiasm, and a passion for patient care and skincare, along with exceptional attention to detail. The ideal candidate will thrive in a fast-paced, precision-driven environment, be comfortable with both administrative and clinical duties, and fully embrace our mission and core values.
Key Responsibilities:
Patient Care & Clinical Support:
- Making an Impact: Greet every patient with warmth and a genuine smile, creating a welcoming environment that leaves a lasting impression.
- Sacred Space: Ensure patients feel comfortable and cared for from check-in to check-out, providing an exceptional customer service experience while rooming patients, taking vital signs, and preparing treatment areas.
- Assist providers during procedures by preparing equipment, maintaining sterile environments, and ensuring patient comfort throughout their visit.
- Administer treatments and procedures as directed by providers within scope of practice.
Patient Education & Engagement:
- Whole-Person Wellness: Confidently educate and convert patients on skincare, treatments, and memberships, helping them make informed decisions about their self-care journey.
- Curiosity & Connection: Engage with patients by actively listening, asking thoughtful questions, and following up on their experiences and treatment plans both during clinical interactions and consultations.
- Confidently sell skincare products, memberships, and treatments based on patient needs and clinical assessments.
- Make outbound calls to potential patients to educate and promote treatments and services.
- Recommend services and products by understanding patient goals and offering tailored solutions.
Administrative Excellence & Documentation:
- Excellence in Every Detail: Manage all aspects of patient booking, cancellations, refunds, and payments with precision and professionalism while maintaining accurate patient records, treatment documentation, and medical histories.
- Check patients in and out efficiently, ensuring seamless transitions between appointments and proper clinical documentation.
- Assist providers with scheduling to maintain an organized and efficient workflow.
- Handle patient inquiries via phone, email, and text messages with professionalism and attentiveness.
- Perform charting and notetaking for providers.
- Maintain adherence to HIPAA guidelines and confidentiality standards in all patient interactions.
Clinic Operations & Inventory Management:
- Prepare and maintain treatment rooms, ensuring all equipment is sanitized and ready for procedures.
- Draw blood and process for treatments and labs.
- Assist with patient room turnover, clinic organization, and maintaining a pristine environment, including cleaning restrooms.
- Keep accurate inventory counts of medical supplies, skincare products, and treatment materials, ensuring supplies are stocked and treatment rooms are prepared for providers.
- Support providers in managing their daily schedules to optimize efficiency.
Team Culture & Professional Development:

Qualifications:
- Exceptional attention to detail with a passion for organization and cleanliness, demonstrated by taking initiative to maintain pristine, well-organized environments without being asked.
- Phlebotomy Certification preferred.
- Bilingual English and Spanish language fluency preferred.
- Minimum 2 years experience working as a medical assistant in a busy clinical environment (dermatology, medical spa, or similar healthcare setting) and experience in a sales-driven customer service/front desk role, preferably in medical aesthetics, spa, hotel, or wellness industries.
- Must have flexibility to attend occasional training sessions at either Ventura or Moorpark locations.
- Strong knowledge of skincare and medical aesthetic treatments, with a passion for educating patients and sending them home with skincare products.
- Proven ability to meet or exceed sales goals and confidently promote products and services.
- Excellent communication and writing skills, both in-person and over the phone, email, and text, including strong notetaking abilities to accurately document patient information and provider instructions.
- Ability to work both independently and as part of a team in a fast-paced environment.
- Professional, polished demeanor with experience using emotional intelligence in a workplace setting.
- Calm, organized approach in all situations.
- Must adhere to HIPAA and patient confidentiality guidelines.

- Schedule: Part-time position, approximately 31.5 hours per week.
- Tuesday 9:30am - 2:00pm
- Wednesday, Thursday, Friday, 9:30am - 5:00pm
- Saturday, 9:30am - 2:00pm
- Compensation: $20.00 - $24.00 per hour based on experience and education.
