About the Opportunity

Nexus Valuation and Findlan Associates are seeking a highly organized and customer-focused Client Success & Operations Coordinator to support two established companies serving the real estate lending industry.

This is a unique full-time opportunity supporting both organizations, allowing you to gain experience across appraisal management and construction loan administration while working alongside lenders, loan officers, appraisers, contractors, inspectors, and construction professionals.

Nexus Valuation is an appraisal management company that partners with lenders to deliver high-quality valuation services through exceptional customer service, local market expertise, and efficient appraisal coordination.

Findlan Associates provides construction loan administration and risk management services that help financial institutions successfully manage construction lending projects from pre-closing through project completion.

What You’ll Do

The Client Success & Operations Coordinator reports to leadership across both organizations and serves as a key point of contact throughout the appraisal and construction loan process. This role is ideal for someone who enjoys interacting with people just as much as managing details and thrives in a fast-paced, collaborative environment.

Responsibilities include:

Nexus Valuation - Appraisal Operations - Approximately 20 hours/week

Receive and process new appraisal orders
Coordinate appraisal assignments by matching orders with qualified appraisers
Serve as the primary communication liaison between loan officers and appraisers throughout the valuation process
Respond promptly and professionally to customer inquiries via phone and email
Monitor appraisal timelines and proactively communicate updates
Maintain accurate records within internal systems
Deliver an exceptional customer experience through responsive, engaging communication

Findlan Associates - Construction Draw Coordination - Approximately 20 hours/week

Coordinate construction draw requests using the Built platform and related systems.
Prepare, organize, and manage construction draw documentation, including lien waivers and electronic signatures.
Coordinate inspections and communicate with lenders, borrowers, builders, contractors, and inspectors throughout the draw process.
Complete draw checklists and maintain accurate project records within company systems.
Submit completed draw packages to lenders for review and coordinate approvals.
Utilize construction management software to manage workflows and documentation.
Assist with field inspections when applicable, based on business needs and project location.
Maintain exceptional organization, accuracy, and customer service while managing multiple active projects.

Build strong working relationships with customers and industry partners
Manage multiple projects while maintaining exceptional attention to detail
Anticipate issues before they arise and proactively communicate solutions
Ensure transactions move efficiently from start to finish
Represent both organizations with professionalism and outstanding customer service

The Skills, Experience, and Mindset Required

Qualifications

Bachelor's degree preferred
Approximately one year of customer service or other public-facing professional experience
Strong written and verbal communication skills
Comfortable speaking professionally with lenders, borrowers, loan officers, appraisers, contractors, inspectors, construction professionals, and customers
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Strong deductive reasoning and problem-solving abilities
Highly coachable with a willingness to learn new systems and processes
Ability to work independently in a remote environment while staying organized, responsive, and collaborative.
Ability to follow detailed processes and checklists while managing multiple priorities with accuracy.
Self-motivated, proactive, and dependable
Strong attention to detail and follow-through
Experience using CRM, project management, or construction software is a plus but not required

Other Details

Schedule

Full-Time (40 hours/week)
Approximately 20 hours/week supporting Nexus Valuation
Approximately 20 hours/week supporting Findlan Associates

Location & Work Arrangement

Location: Candidates must be within reasonable commuting distance of the offices in Portland, Maine

Work Arrangement: This is a hybrid position. While most work is performed remotely, occasional in-office collaboration is required. Candidates should be comfortable working independently from home while remaining available for scheduled in-person meetings and other responsibilities as needed.

Pay: From $25.00 per hour
