Full Job Description

TigerStop has an exciting opportunity for an experienced administrative professional to bring your skills to our new Executive Assistant role, providing dedicated support to our Vice President. You’ll support the VP’s day-to-day work by coordinating schedules and communications, organizing priorities, and assisting across a diverse range of business and community responsibilities.

You’ll have the opportunity to shape this new role based on your experience and strengths while enjoying meaningful variety, from researching state legislative developments that may impact small businesses to assisting with special projects. The position also offers great flexibility, with a hybrid work environment and the ability to choose a consistent schedule between 30 and 40 hours, also including excellent company benefits.

Major responsibilities include but are not limited to:

1. Provides trusted, proactive support to the Vice President (VP) by developing a deep understanding of their priorities, preferences, and working style to anticipate needs and adapt to evolving priorities.

2. Manages access to sensitive, personal, and C-Level information with a high level of confidentiality, discretion, and sound judgment in support of the VP.

3. Coordinates the VP’s calendar, scheduling and maintaining internal, external, and personal appointments, meetings, and events.

4. Supports communications by maintaining business contacts, supporting LinkedIn networking, placing and receiving calls, and relaying messages on the VP’s behalf.

5. Prioritizes and organizes the VP's Outlook inbox, escalating emails requiring timely attention.

6. Reads, researches, analyzes, and summarizes state laws, regulations, policy developments, and other information that may impact Washington small businesses or require the VP’s attention.

7. Provides meeting support to the VP, which may include attending alongside them or in their absence, to take notes, document action items, report outcomes, and assist with coordinating appropriate follow-up.

8. Provides administrative support for the VP’s involvement with local organizations and events, which may include gathering information, documenting commitments, supporting follow-through, and attending as needed, while maintaining a positive and professional presence in the community.

9. Prepares and manages correspondence, reports, presentations, charts, agendas, and other organizational documents using Microsoft Office Suite while maintaining accurate records, filing systems, and document management procedures.

10. Assists with commercial property duties requiring review or action, providing coordination and timely response.

11. Arranges travel and accommodations.

12. Prepares expense reports, tracks receipts, and submits company credit card documentation.

13. Provides a welcome experience for on-site guests through courteous greeting and assistance.

14. Performs other related duties and special projects as assigned by the VP.

Job Qualifications:

Skills, Education, and Certifications:

Bachelor’s degree and 5+ years of experience providing senior-level administrative support in a professional office environment, or a combination of relevant experience and college coursework. Experience working for a family-owned business with regular, direct interaction with ownership a plus. Exceptional communication and organization skills. Advanced proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Teams. Familiarity with essential office equipment such as phones/headset, copiers, etc.

· Maintains composure, professionalism, and flexibility in a fast-paced environment with changing priorities

· Builds and maintains positive working relationships with internal teams, external partners, community members, guests, vendors, and customers

· Exercises strong business judgment, including the ability to identify priorities, resolve routine issues, and escalate matters appropriately

· Service-oriented and responsive, with a commitment to supporting the VP and advancing organizational objectives

· Collaborative team player who can also work independently with confidence and accountability

· Resourceful problem-solver with a sense of curiosity, urgency, and willingness to take on a variety of administrative and project-based tasks

Physical Demands and Working Environment:

The ability to lift up to 15 pounds and sit or stand at a desk for extended periods. General office environment with minimal noise and mild temperature fluctuation. After the initial training period, this position may be hybrid.

Travel Requirements:

This position requires local area travel to run errands, attend community events, and complete other duties as needed. Candidates must be eligible and able to operate a vehicle and maintain valid, current required documentation, including a driver’s license and any applicable insurance requirements.

TigerStop offers a comprehensive benefits package and competitive compensation, dependent upon the experience and skills you bring to the role. Full-time employee benefits include 100% employer-paid premiums for medical, dental, and vision insurance for the employee, with options to purchase additional coverage for a spouse and/or qualified dependents. Participation in a Flexible Spending Account (FSA) is also available. Coverage is provided for basic life, short-term disability, and long-term disability insurance. Employees are immediately able to enroll in a traditional 401(k) or Roth plan with up to 4% match. PTO benefits and company-paid holidays are provided for employee paid time off.
