Full Job Description

Role Summary

Portland Heights is a canna brand house with distribution across Oregon. We are a fast-growing brand that is expanding into new markets quickly. As we grow, we're looking for an organized, proactive, and detail-oriented Project Coordinator to support our Product Development team through every stage of the product life cycle.

Reporting to the Senior Project Manager, this role helps keep projects organized, timelines on track, documentation up to date, and cross-functional teams aligned. You'll assist with coordinating product launches, organizing research and development activities, maintaining project documentation, and identifying opportunities to improve the way we work.

This is an excellent opportunity for someone looking to grow a career in project management while gaining hands-on experience in product development, manufacturing, and cross-functional operations.

What You'll Do:

Project Coordination

Support new product development projects from concept through launch.
Maintain project timelines, task lists, and project documentation in Asana.
Follow up with team members to keep deliverables moving on schedule.
Track project milestones, dependencies, and deadlines.
Assist in identifying project risks, blockers, and overdue tasks.
Prepare project status updates for leadership.

Cross-Functional Collaboration

Coordinate with Product Development, Marketing, Sales, Compliance, Operations, and Production teams to keep projects aligned.
Help schedule meetings, capture notes, and document action items.
Follow up on outstanding deliverables and approvals.
Assist with vendor communication and coordination as needed.

Research & Development Support

Help coordinate the R&D testing schedule and sample timelines.
Prepare, organize, label, and distribute product samples for internal testing.
Collect testing feedback and ensure responses are complete.
Organize product testing results into clear spreadsheets and reports.
Assist with preparing materials for product review meetings.

Documentation & Process Improvement

Keep project files, trackers, and documentation organized and up to date.
Assist in documenting workflows and Standard Operating Procedures (SOPs).
Look for opportunities to improve organization, communication, and project efficiency.
Bring forward ideas to help reduce bottlenecks and improve team processes.

General Support

Assist the Senior Project Manager with day-to-day project coordination.
Help maintain dashboards, trackers, and reporting documents.
Support special projects and other Product Development initiatives as needed.

What We're Looking For:

Required

2-3 years of experience in project coordination, administrative support, operations, or a similar role.
Highly organized with exceptional attention to detail.
Strong written and verbal communication skills.
Comfortable managing multiple priorities in a fast-paced environment.
Proficiency with Google Workspace.
Experience with project management software (Asana preferred).
Self-motivated with a willingness to learn.
Valid driver's license.

Preferred

Experience supporting product development, manufacturing, or consumer packaged goods.
Experience in the cannabis industry.
Familiarity with documenting processes or maintaining project documentation.
