About the Role
If you are the kind of Medical Assistant who notices when something is missing, follows up without being reminded, and enjoys figuring out how to get a complicated task across the finish line, this may be a great fit.
We are looking for an Administrative Medical Assistant who is organized, resourceful, comfortable with technology, and confident navigating the details that happen behind the scenes in a busy medical practice. This is not primarily a hands-on clinical MA position. Much of your day will be spent in direct communication with our virtual patients, resolving lab issues, prior authorizations, preparing medical documentation, following up on outstanding requests, and making sure important administrative tasks do not get lost.
Our patients often have complex medical needs, which means the work is not always straightforward. You may need to research an insurance requirement, determine why a laboratory result is missing, gather documentation for an authorization, draft a medical letter for provider review, or communicate with several different organizations to resolve one issue. We are looking for someone who enjoys that kind of problem-solving and takes pride in completing work thoroughly.
Strong candidates for this position are comfortable working independently while also knowing when to ask questions, escalate an issue, or involve a provider. You should be able to manage competing priorities, communicate professionally, and maintain a high level of accuracy even when your task list is busy.
Schedule
The clinic operates between 8:00 AM and 5:30 PM. This position may be structured as either full-time or part-time depending on the candidate and clinic needs. This is an in-person position.

$24 / hr

Key Responsibilities
Prior Authorizations
- Prepare, submit, and track prior authorizations for medications, laboratory testing, imaging, procedures, and other services.
- Gather required documentation and follow up with insurance companies regarding pending requests, approvals, denials, and appeals.
- Maintain organized tracking and follow each authorization through completion.
Medical Letters & Paperwork
- Prepare medical letters, forms, medical necessity documentation, disability paperwork, and other correspondence for provider review.
- Ensure documentation is accurate, complete, appropriately recorded, and followed through to completion.
- Assist providers with supporting documentation for insurance, workplace, school, and other medical requests.
Laboratory Communication & Follow-Up
- Coordinate laboratory orders, requisitions, testing kits, results, and required documentation.
- Communicate with laboratories regarding missing results, specimen issues, incomplete orders, billing questions, and testing requirements.
- Track outstanding laboratory needs and ensure appropriate follow-up.
Administrative Support
- Respond to patient phone calls and secure messages regarding administrative questions, laboratory instructions, paperwork, records, and scheduling.
- Request and track medical records, outside laboratory results, referrals, and supporting documentation.
- Support new patient intake and ensure required documentation is received.
- Document communications accurately in the electronic medical record.
- Recognize clinical questions and route them appropriately rather than providing medical advice outside the scope of the position.
- Maintain organized systems for outstanding paperwork, laboratory results, authorizations, records requests, and follow-up tasks.
- Take ownership of assigned responsibilities and consistently follow work through to completion.
Technology
Technology is an important part of this role. We are looking for someone who is comfortable learning new systems and using technology to work more efficiently.
- Strong proficiency with Google Workspace, including Google Docs, Google Sheets, Gmail, and Google Drive.
- Proficiency using AI tools for professional administrative work, including drafting, research, organization, documentation, and workflow support.
- Ability to use AI responsibly while protecting patient information and following HIPAA and clinic privacy requirements.
- Comfortable using electronic medical records, laboratory portals, insurance websites, secure messaging systems, and other healthcare technology.
- Comfortable working in a Mac-based environment.
What We’re Looking For
Required
- Medical Assistant certification (CMA, CCMA, RMA, or equivalent) or completion of an accredited Medical Assistant program with relevant experience.
- At least one year of experience in a medical clinic, healthcare administrative setting, or comparable environment.
- Experience with prior authorizations, medical documentation, insurance processes, laboratory communication, or similar healthcare administrative responsibilities.
- Excellent written and verbal communication skills.
- Highly organized and detail-oriented with strong follow-through.
- Ability to manage multiple open tasks without losing track of deadlines or next steps.
- Comfortable researching unfamiliar problems and finding appropriate solutions.
- Strong proficiency with Google Workspace.
- Proficiency and comfort using AI tools in a professional environment.
- Familiarity with medical terminology and clinical documentation.
- Ability to communicate professionally with patients, providers, laboratories, pharmacies, insurance companies, and outside medical offices.
- Ability to maintain confidentiality and appropriately handle protected health information.
- Ability to work in person during scheduled clinic hours.

Preferred
- Experience independently managing prior authorizations.
- Experience preparing medical necessity letters, appeals, disability paperwork, or other medical correspondence.
- Experience communicating with reference or specialty laboratories.
- Knowledge of laboratory ordering, specimen requirements, phlebotomy, specimen processing, or laboratory workflows.
- Experience working in specialty medicine or with patients who have complex or chronic medical conditions.
- Experience in an integrative, naturopathic, or multidisciplinary medical practice.
