Project Coordinator

Unitus Services, LLC Vancouver, WA Full-Time, On-Site

We are strictly seeking local applicants. Relocation assistance, sponsorship, and out-of-area interview accommodations are not provided. Applications from outside the immediate geographic area will not be considered.

Unitus Services, LLC is a small, established public works general contractor delivering building projects for cities, counties, school districts, and other public agencies. Our work typically ranges from $500,000 to $4 million. We are looking for a well-rounded Project Coordinator who can support our project manager in the field and the paperwork and keep the office running smoothly. This is a hybrid role: part project coordination, part general office support, ideal for an organized, detail-oriented person who likes wearing multiple hats in a small-team environment.

Project Coordination

– Support the project manager across the full project lifecycle: preconstruction, buyout, execution, and closeout.

– Manage submittals, RFIs, and the submittal/procurement log; track long-lead items so nothing stalls the field.

– Draft, issue, and track subcontracts, purchase orders, and change orders.

– Maintain project documentation: plans, specifications, drawings, meeting minutes, and daily records.

– Assist with quantity takeoffs, cost tracking, and monthly owner pay applications.

– Support public works compliance: prevailing wage, certified payroll, and L&I filings (Statements of Intent and Affidavits of Wages Paid), and agency-specific requirements.

– Coordinate with owners, agencies, inspectors, subcontractors, and suppliers.

Office & Administrative Support

– Enter and process employee time cards and help coordinate payroll inputs.

– Work with accounts payable and receivable: coding, entering, and tracking vendor and subcontractor invoices.

– Match invoices to purchase orders and follow up on discrepancies, lien releases, and billing.

– Maintain organized digital and physical filing for projects, vendors, and compliance records.

– Handle general office duties: correspondence, phones, ordering supplies, and supporting ownership as needed.

– Assist with certificates of insurance, prequalification packages, and document requests from agencies.

What We're Looking For

– 2–5 years of combined experience in project coordination and general office administration; construction industry experience is a must. It is what we do and it is very different from other industries.

– Solid general office skills: data entry, filing, invoicing, and comfort owning administrative processes.

– Experience with time card entry, accounts payable/receivable, or bookkeeping basics.

– Strong organizational skills and genuine attention to detail; you keep logs and records current and nothing falls through the cracks.

– Proficiency with Microsoft Office (Excel, Word, Outlook); experience with accounting software (e.g., QuickBooks, Sage, Foundation) and construction software (Procore, Bluebeam) is a plus.

– Clear, professional communicator, comfortable working with owners, agencies, subs, and vendors.

– Self-motivated, dependable, and adaptable; thrives wearing multiple hats in a small-team environment.

– Able to read construction plans and specifications, or eager to learn.

– Valid driver's license and willingness to travel to project sites when needed.

Nice to Have

– Public works or agency (city, county, school district, DOT) project experience.

– Familiarity with Washington and Oregon prevailing wage and certified payroll requirements (L&I Intents and Affidavits).

– Associate or bachelor's degree in Construction Management, Business, Accounting, or a related field (helpful, but not necessary).

– Notary and/or bookkeeping/payroll coursework.
