Assistant League Coordinator

Job Title: Assistant League Coordinator

Department: Leagues

Reports To: Assistant General Manager (Ian King)

Status: Exempt

JOB SUMMARY:

The League Registrar/ Scheduler is responsible for registering and scheduling all league players, Adult and Youth Leagues and all Adult and Youth League reschedules. This includes both locations, East and West in coordination with the Asst. General Manager. All league inquiries are handled by the league registrar/scheduler who is assisted by the Asst. General Manager. Which also includes all Community Team registration, coordination management and communication.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Daily Check-In meetings with supervisor
Attend weekly League specific meeting
Attend weekly Marketing Social Media meeting
Attend weekly Program Specialist meeting
Attend weekly League/Tournament prep meeting
Attend necessary spin off meetings as needed

Direct management and oversight of Community Teams
Daily updates management of Leagues Task Spreadsheet as overseen by supervisor
Registers teams and managers within Adult Leagues
Management of billing, accounts receivable, invoices etc of Community Teams within the Adult Leagues
Responsible for meeting league numbers and registration goals for Community Teams
Management of emails templates, email campaigns and overall communication to and from Community Team players
Direct management, oversight, curation and execution of Community Team initiatives both within and outside of Adult Leagues
Works in coordination with League Coordinator and Marketing Team on social media marketing request for Community Teams
Curates and maintains registration links each session
Manages all player and team coordination each session
Works with developed Community Teams to ensure each team is viable and playing each week
Roster management required
Substitution management required
Weekly communication required
Assists in management of Adult League teams in coordination with Coordinator of Adult League teams including but not limited to:
Daily updates management of Leagues Task Spreadsheet as overseen by supervisor
Team management of all teams and managers into the Adult League and Youth League
Management of billing, accounts receivable, invoices etc of teams within the Adult Leagues
Auto-Renewal registrations
League schedules
League reschedules
League promotion and relegation
League division management
Tournament management and scheduling
Maintains all required spreadsheets and trackers
Ensuring trackers and spreadsheets are up to date at all times
Development of Adult and Youth League Policies / Rule Committees
Oversight of Membership Cards
Assists in management of Youth League teams in coordination with Coordinator of Youth League teams including but not limited to:
Daily updates management of Leagues Task Spreadsheet as overseen by supervisor
Team management of all teams and managers into the Youth League
Management of billing, accounts receivable, invoices etc of teams within the Youth Leagues

REQUIRED EDUCATION, CERTIFICATIONS AND EXPERIENCE

Program and people management experience is preferred
Experience in a Futsal or sports related Facility/Gym is preferred
Experience in organizing work flow from multiple and overlapping schedules
At-least one (1) year experience in a scheduling environment required

PAY STRUCTURE & SCHEDULE

Full Time - 40+/Hours Weekly
Salary based on experience $40,000-$44,000
Health Care Benefits available at 90-days
Tier-1 Paid Time Off - 12 Days Annually
Full Time (40+/hr weekly) as overseen by Assistant General Manager
Evening/Weekend required
Seasonal flexibility required

POSITION REQUIREMENTS:

Afternoon/Evenings are required for this position
40 hour (in person) work schedule is required
Weekends required
