Overview
We are seeking an energetic and detail-oriented Administrative & Billing Coordinator to support our daily operations. In this vital role, you will manage administrative tasks, oversee billing processes, and ensure smooth office functions. Your organizational skills and proactive approach will help maintain efficiency and excellent customer service across our team.

Duties

Handle front desk responsibilities, including greeting visitors and managing multi-line phone systems with professionalism and courtesy
Perform data entry and maintain accurate records using QuickBooks, Microsoft Office, and Google Workspace
Manage billing processes by preparing invoices, processing payments, and reconciling accounts with attention to detail
Support office management tasks such as filing, proofreading documents, and organizing files for easy retrieval
Assist with calendar management, scheduling appointments, and coordinating meetings for team members
Provide exceptional customer support by answering inquiries promptly via phone or email and offering clear information on services
Maintain office supplies inventory and ensure the office environment is organized and welcoming

Requirements

Proven office management or administrative experience with strong clerical skills
Proficiency in QuickBooks, Microsoft Office Suite (Word, Excel, Outlook), and Google Workspace applications
Excellent organizational skills with the ability to prioritize tasks effectively
Strong typing skills and computer literacy to handle data entry accurately
Experience with multi-line phone systems, phone etiquette, and customer service best practices
Bilingual abilities are a plus for communicating with diverse clients and team members
Personal assistant or office experience that demonstrates reliability and professionalism
Ability to manage time efficiently while handling multiple responsibilities simultaneously
