Accounting & Office Manager

Job Summary

We are seeking an experienced Accounting & Office Manager to oversee the day-to-day accounting operations and office administration for a growing commercial real estate development, ownership, and property management company in Kitsap County.

The successful candidate will be responsible for maintaining accurate financial records, managing accounts payable and accounts receivable, preparing weekly and monthly financial reports, supporting lender and CPA requests, and ensuring the efficient operation of the office. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

Experience with commercial real estate, property management, construction accounting, or a related industry is highly preferred.

Duties & Responsibilities

Maintain accounting records for multiple business entities using QuickBooks Online.
Process accounts payable and accounts receivable, including vendor invoices, customer payments, bank deposits, and account reconciliations.
Prepare weekly cash flow and financial reports, along with monthly financial statements and supporting schedules.
Prepare and reconcile monthly bank and credit card statements.
Maintain the general ledger, prepare journal entries, and ensure accurate financial records.
Coordinate with the Company's CPA during month-end and year-end close, tax preparation, and other accounting matters.
Prepare financial information requested by lenders, insurance providers, and other third parties.
Track construction project costs, loan draws, capital expenditures, and other project-related accounting activities.
Manage tenant billing, rent collections, security deposits, lease-related accounting, and other property management accounting functions.
Assist with annual budgeting, operating expense reconciliations, and other accounting projects as assigned.
Maintain organized accounting, lease, corporate, and administrative records.
Answer phones, respond to emails, greet visitors, and provide professional administrative support.
Coordinate office vendors, supplies, equipment, and service providers.
Schedule meetings, maintain company calendars, and assist with special projects as assigned.
Identify opportunities to improve accounting procedures, internal controls, and overall office efficiency.

Qualifications

Minimum of 5 years of bookkeeping or accounting experience required.
Experience with QuickBooks Online required.
Strong understanding of accounts payable, accounts receivable, bank reconciliations, general ledger accounting, and financial reporting.
Experience preparing journal entries and monthly financial statements.
Commercial real estate, property management, or construction accounting experience preferred.
Proficiency with Microsoft Excel, Word, Outlook, and other Microsoft Office applications.
Demonstrated ability to independently prioritize work, meet deadlines, and maintain exceptional accuracy.
Strong organizational, time management, analytical, and problem-solving skills.
Excellent written and verbal communication skills.
Ability to handle confidential financial information with professionalism and discretion.
Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred; equivalent work experience will be considered.
Experience working in a small business environment where the ability to wear multiple hats and work independently is highly preferred.

$33.00–$38.00 per hour, depending on experience
