MMG is seeking an experienced Front Desk employee and will consider candidates at either the Associate or Coordinator level. Placement within the role and corresponding compensation will be based on the candidate’s experience and overall qualifications.
As a Front Desk Associate/Coordinator, you are the welcoming face and operational hub of the organization, ensuring visitors, communications, and mail services run smoothly every day. In addition to front desk operations, directing incoming calls, and document processing, the role serves as a key resource for Reception and Mail Processing functions by providing guidance, supporting training initiatives, troubleshooting service issues, and helping drive process improvements.
Working closely with internal teams, vendors, and leadership, this role combines customer service, administrative expertise, and workforce coordination to create an efficient, professional experience for employees and visitors.
This role is based in our Presque Isle, ME office and is an in-person, on-site opportunity.
What You’ll Do:
- Serve as the first point of contact for visitors, callers, and customers, providing friendly, professional service and directing inquiries appropriately.
- Manage incoming and outgoing communications, including phone calls, emails, faxes, and messages, ensuring timely and accurate distribution.
- Coordinate mail processing operations, including sorting, distributing, preparing, and shipping mail and packages. Serves as the administrator and first point-of-contact for all Mail Center invoicing including for USPS, Pitney Bowes and FedEx.
- Scan, index, image, and route documents through company systems while maintaining accurate records and file retention standards.
- Support policy administration activities by processing routine transactions, verifying information, and routing complex requests to appropriate business partners.
- Partner with internal teams, agencies, and external contacts to resolve inquiries and provide exceptional customer service.
- Maintain expertise in company processes, systems, and technology while supporting continuous improvement and operational efficiency.
What You Bring:
- 1-2 years of related experience and/or training in reception, administrative support, customer service, or office operations environment.
- Strong verbal and written communication skills with a professional, customer-focused approach.
- Ability to manage multiple priorities, stay organized, and maintain attention to detail in a fast-paced environment.
- Proficiency with Microsoft Office applications and the ability to learn new systems and technology quickly.
- Experience handling phones, mail processing, document management, or records administration preferred.
- Strong problem-solving skills with the ability to determine when issues should be escalated.
- Ability to work independently, collaborate effectively with others, and build positive relationships with customers and colleagues.
- Demonstrated commitment to accuracy, confidentiality, and providing exceptional service.
Compensation Range: The anticipated hourly compensation range for this position is $19-$25/hour. This position may be filled at different levels depending on the candidate's experience and qualifications and the final title, level, and compensation will be determined based on the selected candidate's qualifications, experience, skills, and overall fit for the role. Compensation decisions are made in alignment with internal equity and market considerations.
Essential Functions: The essential functions of this position include greeting visitors, answering incoming phone calls, and coordinating mail processing operations. These duties require strong communications skills in-person and over the phone, proficiency with the computer and Microsoft Office and organization and multi-tasking skills. This position is primarily performed in an office or remote work environment and requires prolonged periods of sitting and computer use. The role involves frequent verbal and written communication, participation in virtual and in‑person meetings, and occasional travel to client or company locations.
