About the Position
Smokin J Diesel Service LLC is looking for a motivated and organized Diesel Service Writer / Service Advisor to join our team.
This position is a key link between our customers, technicians, and the front office. We're looking for someone who can take ownership of a repair order from the time a truck comes through the door until the job is completed, invoiced, and ready for the customer.
The right person needs to be comfortable communicating with customers, building and presenting estimates, coordinating work with technicians, following up on approvals, ordering and tracking parts, and keeping jobs moving through the shop.
Heavy-duty diesel experience is strongly preferred, but we're also willing to consider someone with solid automotive, fleet, parts, or service-writing experience who is motivated to learn the heavy-duty industry.
What You'll Be Doing
- Greet customers and gather accurate information about their repair concerns
- Create and manage service orders from check-in through completion
- Communicate customer concerns clearly to technicians
- Build repair estimates based on technician findings
- Present estimates and obtain customer authorization
- Maintain consistent communication with customers regarding repair status, costs, and completion times
- Coordinate technician workflow and help keep jobs moving through the shop
- Order, source, and track parts needed for repairs
- Follow up on estimates and pending customer approvals
- Review completed service orders for accuracy before invoicing
- Make sure labor, parts, outside services, and other charges are properly documented
- Coordinate completed vehicle pickups and payment with the front office
- Help manage outstanding invoices and collections when necessary
- Maintain accurate notes and documentation in our shop management and CRM systems
- Work closely with technicians, management, parts suppliers, and customers to resolve issues quickly
- Help identify opportunities to improve shop efficiency, customer service, and profitability
What We're Looking For
Entry-level candidates may be considered, but compensation will be based on experience and ability.
The ideal candidate will have:
- Previous service writer, service advisor, parts, fleet, automotive, or diesel repair experience
- Strong customer service and communication skills
- Good organizational and follow-through skills
- Ability to manage multiple repair orders and priorities at the same time
- Basic understanding of mechanical repairs and terminology
- Ability to communicate effectively with diesel technicians
- Confidence discussing repair recommendations and costs with customers
- Strong attention to detail when reviewing estimates and invoices
- Basic computer skills and the ability to learn shop management software
- A team-oriented attitude and willingness to take ownership of problems
- Heavy-duty truck and diesel repair knowledge is a major plus
Compensation
Compensation will depend on experience and demonstrated ability.
General starting range: $24–$32/hour.
Candidates with limited direct service-writing experience but relevant shop, parts, fleet, or customer-service experience may start toward the lower end of the range.
Experienced diesel service writers who can independently manage estimates, customer communication, technician workflow, repair-order follow-through, and collections may qualify toward the upper end.
We are also developing a performance-based bonus structure designed to reward profitable shop performance and individual contribution. Performance incentives may be tied to factors such as gross profit, estimate approvals, repair-order performance, labor sales, technician efficiency, and collections.
