Full Job Description

Clearance: TS/SCI Overview:

The Office of Intelligence and National Security (OINS) requires comprehensive administrative and operational assistance in support of intelligence coordination, executive support functions, and secure facility operations. The Administrative Assistant II will work directly with OINS leadership and designated personnel to coordinate executive-level administrative activities, manage schedules and correspondence, maintain records and reporting systems, prepare documentation, and support daily office operations within secure environments.

The Administrative Assistant II will also provide Sensitive Compartmented Information Facility (SCIF) administrative and operational support, including access coordination, visitor management, classified material accountability, meeting and briefing support, secure communications coordination, records management, and compliance with applicable security policies and procedures. These support services will facilitate the effective execution of OINS mission requirements while ensuring professionalism, confidentiality, accuracy, and adherence to national security standards.

Background:

Ardent Eagle Solutions is seeking a highly organized and security-conscious Administrative Assistant II to support the Department of Commerce's Office of Intelligence and National Security (OINS). OINS serves as the Department's Federal Intelligence Coordination Office, providing intelligence coordination, executive support, and secure facility operations that enable informed decision-making in support of U.S. economic and national security objectives.

This position provides executive-level administrative and operational support within a secure environment, assisting leadership with scheduling, correspondence, classified records management, visitor coordination, and daily office operations while maintaining strict compliance with federal security policies and classified information handling requirements.

Responsibilities:

Must possess a Top Secret (TS) security clearance with SCI crossover eligibility (not simply be SCI eligible). This requires an in-scope background investigation and either currently SCI-indoc’d or read out of SCI within the past 23 months.
This Administrative Assistant II position will:
- Be proficient in the Microsoft Office Suite, including the ability to type 50-60 words per minute, with extensive experience using Outlook for daily communication, scheduling, and email management.
- Assist the program office by answering and screening telephone calls and electronic mail to include managing organization emails and calendars, scheduling meetings, and assisting with management tasks.
- Demonstrate strong customer service skills and work effectively both independently and as a team member.
- Be capable and confident to communicate matters to personnel at the highest levels.
- Assist the program office with visitor identity and clearance screening/vetting personnel.
- Administratively prepare, maintain, reconcile and track new and existing classified and unclassified digital and paper files.
- Perform and document various records and security checks using existing procedures.
- Coordinate and perform physical operations, information, and communications security administrative assignments.
- Prepare and coordinate memos, training, supplies, equipment and inventories/maintenance.
- Coordinate and track internal and external correspondence and requests.
- Maintain classified files to include properly marking and disseminating materials in accordance with law, regulation, and policy.
- Adhere to schedules and provide timeliness of deliverables.
- Provide high quality and effective oral and written communications.
- Provide adherence to standards of reliability and working independently with a high degree of professionalism, tact, and diplomacy.
- Perform other general office duties as assigned.

Qualifications:

Qualified candidates should possess:

Candidates must possess a minimum of six (6) years of relevant professional administrative support experience in addition to the required degree.
Must have a Top Secret (TS) security clearance with SCI crossover eligibility (not simply be SCI eligible). This requires an in-scope background investigation and either currently SCI-indoc’d or read out of SCI within the past 23 months.
U.S. Citizenship.
Experience providing executive or senior-level administrative support in a federal or defense environment.
Experience working with classified and unclassified documentation.
Strong organizational skills with exceptional attention to detail.
Excellent written and verbal communication skills.
Ability to work independently with minimal supervision while managing multiple competing priorities.
Demonstrated professionalism, discretion, and sound judgment when handling sensitive information.
Strong customer service and interpersonal skills with the ability to communicate effectively at all organizational levels.
Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Typing proficiency of approximately 50–60 words per minute.

Preferred Qualifications:

Preference may be given to candidates with:

Prior experience supporting intelligence, national security, or executive leadership organizations.
Experience working within Sensitive Compartmented Information Facilities (SCIFs).
Familiarity with classified records management and document accountability procedures.
Knowledge of federal security policies, NISPOM requirements, and classified information handling procedures.
Experience coordinating visitor control and security access procedures.

Location and Work Hours:

Washington, DC (Herbert C. Hoover Building)

This position is primarily performed on-site within a secure government facility. Due to the classified nature of the work, routine telework is not anticipated. Limited remote work may be authorized by the Government on a case-by-case basis.

Work Schedule:

Monday through Friday
Standard business hours are generally 9:00 AM – 5:30 PM
Candidates should be flexible to support operational requirements between approximately 8:00 AM and 6:30 PM as needed.

Compensation:

Salary Range: $65,000 - $85,000 annually

Compensation will be commensurate with the selected candidate's qualifications, relevant experience, and overall fit for the position.
