Full Job Description

Job Summary
We are seeking a dynamic and organized Office / Business Manager to join our team on a part-time basis, working 25-30 hours per week in-office. This vital role combines administrative excellence with office management expertise, ensuring smooth daily operations and supporting our team’s productivity. The ideal candidate will be proactive, detail-oriented, and possess strong communication skills to oversee various administrative functions, coordinate vendor relationships, manage schedules, and assist with human resources and bookkeeping tasks. This is very Hands On and, more office/business management than accounting. This is very Hands On and, more office/business management than accounting. This position supports a planned transition as the current employee prepares for retirement and will not be returning, allowing for a structured and collaborative knowledge transfer. Key Responsibilities

· Entrepreneurial approach to the business – be Hands-On!

· Back up to all daily activity including but not limited to office operations, bookkeeping, phone/mobile, Internet, Cloud systems. Occasional need to work full-time during staff vacation.

· Manage the internal office operations and staff of two

· Solid understanding and use of QuickBooks Pro Plus Desktop.

· Maintain controls over Banking and Investments, Accounts Receivable, Accounts Payable, Cash Receipts and GL in QuickBooks for a multi-company environment.

· Arborgold for CRM, Orders, Scheduling and Billing, ensuring accuracy and timeliness. Analyze business processes/ROI. Training is provided.

· Paylocity for payroll. Manage and review all aspects of the weekly payroll process including expense forecasting, review employee hours and overtime compliance and analysis. Primary back up to Payroll processing.

· Strong Customer problem solver; assist staff on a daily basis (phones, questions)

· Manage recruiting/hiring HR Processes; compliance, pays, bonuses

· Manage all Risk Management Insurance processes, renewals, and changes – Business and Medical. Manage annual audits for Workers Compensation and General Liability.

· Understanding of and making IFTA and IRP tax filings and other Motor Vehicle filings

· Motor Vehicle registration process and renewals

· Implement consistent policies, practices, and procedures across all programs to provide a uniform working environment.

· Develop and enforce internal controls to maximize ROI

· Follow Generally Accepted Accounting Principles (GAAP) for controlling and/or monitoring various areas of business operations

· Coordinate financial details with outside CPA firm in preparation of financial statements, other required reports and for Federal, State, and local Tax filings; including audits that may occur for income tax purposes.

· Drive Marketing and communications

· Coordinate and process annual business licenses

· Coordinate and process major purchases

· Suggest and/or act as coordinator of new projects/areas that arise within the business units as they relate to improvements in process and procedures

· Work closely with business owner on business and personal items

Requirements

· Bachelor’s Degree in the field of accounting/business management

· Minimum five (5) years’ progressive experience as an Accounting Manager/Controller

· Five (5) years supervisor experience

· Knowledge of the Tree Industry is a real plus

· Self-starter, Problem Solver, Strong Attention to Detail and accountability

· Software Savvy and some IT experience

· Strong Excel and QuickBooks Skills – Multiple companies

· Working knowledge of (GAAP)

· Proven payroll experience

· Experience with GL, WC, Auto and Health Benefits Insurance

· Experience working in the field of Human Resources

· Strong analytical mindset, exceptional attention to detail, and excellent verbal and written communication skills.

Pay: $35.00 - $50.00 per hour
