Full Job Description

BasePoint is looking for an organized, proactive, and people-focused Office Operations Coordinator to help keep our HomeBase office running smoothly.

This is a highly visible role and an important part of the day-to-day employee and visitor experience at BasePoint. You’ll be the first point of contact for visitors, candidates, vendors, and team members while also supporting administrative operations, office coordination, facility needs, and special projects.

What You’ll Do

In this role, you will:

Serve as the welcoming first point of contact for visitors, candidates, vendors, and other guests at our HomeBase office.
Manage visitor sign-in, guest notifications, incoming mail, packages, deliveries, and general inquiries.
Provide administrative support to leadership and team members, including calendar and schedule coordination, meeting preparation, document creation, and follow-up.
Coordinate conference rooms, virtual meeting links, interviews, trainings, meetings, and internal events.
Maintain organized digital and physical files and assist with document control and record retention.
Help keep our office organized, stocked, professional, and ready for employees and visitors.
Support new-hire preparation and onboarding activities in partnership with HR.
Provide administrative support across teams including HR, recruiting, operations, and outreach.
Coordinate building maintenance and facilities requests from initial request through resolution.
Serve as a liaison with building management and outside vendors.
Coordinate office access requests, key management, visitor processes, and workplace security needs.

What We’re Looking For

We’re looking for someone who is naturally service-oriented and enjoys being the person others can count on. You should be comfortable juggling multiple priorities while maintaining a high level of professionalism, organization, and attention to detail.

Minimum qualifications:

3+ years of experience in administrative support, office coordination, front desk, or office operations.
Bachelor’s degree preferred; equivalent experience will be considered.
Strong organizational and time-management skills with the ability to manage competing priorities.
Excellent written and verbal communication skills.
Ability to work independently, exercise good judgment, and follow projects through completion.
Proficiency with Microsoft 365, Google Suite, Adobe, and Canva.
Familiarity with collaboration tools such as Slack, Microsoft Teams, Zoom, or similar platforms.
Experience coordinating facilities, vendors, or workplace operations is preferred.
Experience supporting multiple departments such as HR, recruiting, operations, or marketing is a plus.
