Full Job Description

Position Summary
Reports to Departmental Administrative Manager, Chair or Chief of the Department. Plans, develops, monitors and coordinates the academic departmental research administrative activities for the department. Works with senior departmental leadership to ensure departmental resources are available for research and collaborates with the Office of Research Administration in space planning, human resource planning and departmental budget planning. Works closely with academic departmental leadership in the development of departmental policies, procedures and education with regard to research in the department.

Key Responsibilities

Serve as the primary liaison between research administration, faculty, departmental leadership, and hospital/university departments to ensure effective communication and issue resolution.
Coordinate research-related recruitment activities, including onboarding new faculty and staff, space planning, equipment transfers, and relocation logistics.
Lead special research initiatives, including grant submissions, investigator incentive programs, and departmental reporting and analytics.
Provide guidance and support to faculty on research funding opportunities, proposal development, and sponsor requirements.
Review grant applications for budget accuracy, compliance, and adherence to sponsor and institutional guidelines; coordinate required approvals prior to submission.
Manage post-award research administration activities, ensuring compliance with sponsor, institutional, and departmental requirements.
Monitor research activities and funding to identify potential risks and collaborate with the Office of Research Administration on corrective action plans when needed.
Develop and maintain departmental processes and resources to support clinical trials and research operations.
Assist in the development, management, and monitoring of departmental research budgets, including physician salary allocations and research funding transfers.
Coordinate human resources and payroll activities related to research faculty and staff, including recruitment, salary changes, and timekeeping processes.
Prepare and maintain reports on funding, grant submissions, awards, salary expenses, and departmental research metrics.
Review and approve research-related expenditures, ensuring compliance with institutional policies and availability of funds.
Ensure compliance with effort reporting, payroll distributions, sponsor regulations, and research administration requirements.
Provide guidance on regulatory and compliance matters, including IRB and IACUC submissions and protocol processes.
Resolve account, funding, and administrative issues in collaboration with investigators, sponsors, and research administration.
Monitor financial transactions, cost transfers, and journal entries to ensure appropriate allocation of research funds.
Maintain current knowledge of research regulations, sponsor requirements, and institutional policies.
Supervise, train, and evaluate administrative support staff.
Perform other duties as assigned.

Qualifications

Bachelor’s degree in business administration, public administration, finance or other related discipline. Masters’ degree preferred

Experience

Five or more years of progressively more responsible experience in a research academic environment to include federal and non-federal funding, clinical trials, grant application processes, and regulations set by local, federal, hospital, and independent agencies.
Excellent verbal and written skills are essential.
The ability to interact with persons from diverse backgrounds such as MD’s, PhD’s, research and administrative staff.
Thorough knowledge of microcomputers, peripheral equipment and networks.
Thorough knowledge of software such as Microsoft Word, Excel, Access and Windows. Ability to learn specific research access programs.
