Full Job Description

Reporting to the Director of Development & Community Engagement, the Alumnae Relations Coordinator fosters strong, enduring relationships that enrich the St. Mary Academy Bay View community and supports the long-term vitality of the school. The Coordinator is responsible for collaboratively planning, executing, and promoting events, meetings, and communications designed to meaningfully connect with alumnae and other key stakeholders. This dynamic role drives engagement across generations for a vibrant network of over 8,000 living graduates.

Our School: St. Mary Academy Bay View is an all-girls, independent, Mercy Catholic school serving a diverse population of girls from Pre-K through Grade 12, located in Riverside, Rhode Island. A sponsored ministry of the Sisters of Mercy and Mercy Education, St. Mary Academy Bay View fosters academic excellence in an innovative and creative learning environment while striving to empower each student to be a confident, independent, compassionate, and socially conscious faith-filled young woman.

Examples of Key Duties and Responsibilities: -Work in collaboration with all members of the Development & Community Engagement team to co-develop and execute an annual schedule of alumnae programs that meet strategic broad-based engagement and philanthropic goals and objectives, as determined by the department, school, and leadership;-Promote a culture of philanthropy and legacy giving within the community, developing and managing activities that strengthen relationships with alumnae, parents/family members, and other prospects;-Update alumnae records and profiles in the database on a weekly basis;-Attend and assist in all development activities including special events and other development and community engagement efforts;-Establish and build relationships with a wide range of alumnae locally, and regionally; help recruit, train and engage alumnae for volunteering, for our ambassador programs and more;-Raise awareness of Bay Views work through showcasing and profiling successful alumnae stories on all platforms, in collaboration with the Communications team, and facilitate the Alumnae Council meetings, and other alumnae affiliation groups;-Co-plan and execute on- and off-campus events of interest to alumnae across decades and geographic regions; with a specific focus on reconnecting with disengaged alumnae and other important community partners;-Prepare invitations, briefings, and other materials required to support the event or program and school leadership involvement;-Coordinate and manage the overall execution of reunion events each year, attending all local alumnae events; co-develop a reunion handbook with the Director;-Collaborate with the Assistant Director of Development to assist with planning and logistics of events involving communications, facilities, catering, class volunteers, committees, vendors and other service providers as needed;-Assist with other Development & Community Engagement initiatives as assigned by the Director; and-Track all efforts using the database system and prepare monthly reports for the Director. Requirements: -Bachelors Degree required;-Demonstrable experience with alumnae relations and development preferred. Experience in cultivation of donor prospects with successful fundraising participation and outcomes;-Three to five years experience in event planning required, preferably in an educational or alumnae association setting with reunion work experience strongly preferred;-Exceptional relationship building skills with the ability to engage and motivate alumnae of all ages and backgrounds;-Excellent verbal and written communication skills including public speaking;-Excellent organizational skills and attention to detail;-Proficiency with Microsoft Office Suite is expected. Knowledge of additional software programs is preferred;-Preferred experience with CRM software, Blackbaud NXT if not already proficient;-Experience in using social media outlets professionally to engage constituents and generate interest within specific demographics preferred;-Ability to work independently in a fast-paced environment and also cooperatively as part of a team; and-Must be willing to travel and work regular evening and weekend hours as needed.
