Full Job Description

Administrative Assistant

Lincoln Senior Center

Part-Time, non-union, 20 hours/week

The Lincoln Senior Center’s Part-Time Administrative Assistant provides exceptional service for our members and visitors by fulfilling a variety of administrative functions. The Administrative Assistant serves as one of the first points of contact for the Center, creating a welcoming atmosphere while assisting with daily operations, programs, and activities.

Essential Duties and Responsibilities:

Greet members, visitors, and guests in a friendly and professional manner.
Answer and direct incoming phone calls and respond to inquiries regarding Center programs, services, and events.
Process registrations for activities, classes, trips, and special events.
Accept and process new and renewal membership registrations.
Provide tours of the Senior Center to prospective members and visitors.
Assist with lunch reservations and meal program inquiries.
Support dining room operations when needed, including assisting with meal service and cleanup.
Assist staff with activities, programs, and special events.
Maintain accurate records and participant information.
Handle cash, checks, and other payments in accordance with Center procedures.
Perform general administrative and clerical tasks, including filing, copying, and data entry.
Assist members with questions and provide information about available resources and services.
Support other Center staff as needed to ensure smooth daily operations.

Qualifications:

Minimum two (2) years of previous customer service, receptionist, administrative, or senior services experience preferred.

Competencies:

Strong organizational skills and attention to detail.
Basic computer skills, including Microsoft Office and email.
Ability to multitask and work in a fast-paced environment.
Excellent customer service and interpersonal skills.
Strong verbal and written communication skills.
Ability to work effectively with older adults and individuals from diverse backgrounds.
Friendly, patient, and compassionate demeanor.
Dependable and punctual.
Team-oriented with a willingness to assist wherever needed.
Commitment to providing excellent service to older adults and the community, aligning with the Center’s commitment to creating a welcoming and inclusive environment for all members, visitors, and staff.

Regularly required to walk, stand, sit, stoop, kneel, talk, and hear; pick up paper, files, and other common office objects. Ability to view computer screens and work with details for extended periods of time. May move objects weighing up to 30 pounds, normally less. Must be able to communicate written and verbally. Vision and hearing at or correctable to normal ranges.
