JOB TITLE: Executive Assistant to the Vice President of Economic and Workforce Solutions, and the Chief Strategy Officer

LOCATION: Fall River, MA
POSITION STATUS: This is a full-time, non-unit position with benefits
SALARY: $76,683.10 - 80,565.18 annually

STATEMENT OF DUTIES:

The Executive Assistant provides high-level executive and operational support to both the Vice President of Economic and Workforce Solutions and the Office of the Chief Strategy Officer. This role serves as the primary point of contact for both offices, managing operations, budget and procurement coordination, scheduling and event logistics, communications liaison work with Marketing, and technology access coordination. The Executive Assistant plays a key role in ensuring both departments operate efficiently, professionally, and in alignment with institutional priorities and branding.

ESSENTIAL FUNCTIONS, DUTIES AND RESPONSIBILITIES:

Manage operations for both the Economic and Workforce Solutions department and the Office of the Chief Strategy Officer, serving as the primary point of contact for communication and coordination across both offices.
Oversee scheduling and logistics for meetings, events, and activities across both departments, including leadership meetings, employer and community partner engagements, and workforce program functions.
Coordinate front-office operations for both departments, including reception, phone management, office supplies, and space scheduling.
Monitor project timelines and deliverables for strategic initiatives and workforce solutions programming, ensuring priorities in both departments are met.
Coordinate budget activities across both departments, tracking expenditures, processing requisitions, and reconciling accounts with the Business Office, including grant-funded workforce program accounts.
Manage purchasing requests and vendor communications for both offices, ensuring compliance with procurement and, where applicable, grant-funding policies.
Assist in budget development and reporting for Economic and Workforce Solutions and the Office of the Chief Strategy Officer, including departmental accounts, grant accounts, and special projects.
Act as liaison between Economic and Workforce Solutions, the Office of the Chief Strategy Officer, and Marketing to coordinate materials, program promotions, employer outreach, and campaigns.
Facilitate submission of workforce program content, success stories, and strategic initiative updates for publications and social media.
Support communication planning for strategic and workforce solutions initiatives, aligning with institutional branding.
Coordinate technology access requests for employees across both Economic and Workforce Solutions and the Office of the Chief Strategy Officer.
Collaborate with IT to ensure new hires and staff in both departments receive necessary credentials and hardware.
Track ongoing access requests and maintain documentation regarding system access and office allocations for both departments.
Maintain combined calendars for the Chief Strategy Officer and Economic and Workforce Solutions leadership, including key deadlines, grant reporting dates, and meetings.
Coordinate space reservations and technology setups for functions and meetings held by either department, including employer and community partner convenings.
Support logistics for special events, including workforce program launches, employer summits, and strategic planning sessions, including catering and facilities setup.
Act as liaison between Economic and Workforce Solutions, the Office of the Chief Strategy Officer, and other administrative units, ensuring effective communication.
Provide guidance to administrative assistants supporting either department on office operations and procedures.
Represent either department in cross-departmental and external community or employer partner meetings as needed.
Develop and improve operational procedures across both departments to enhance efficiency and customer service.
Monitor workflows in both departments to identify areas for improvement and implement solutions.
Support the Chief Strategy Officer and senior leadership of both departments with special projects, strategic planning materials, and reports.
Support special projects and process improvement initiatives spanning both Economic and Workforce Solutions and the Office of the Chief Strategy Officer.
Perform related duties as assigned for the efficient operation of both departments.

Job Requirements:

REQUIRED QUALIFICATIONS:

Minimum of two (2) years of experience in higher education administration, office management, or academic operations.
Minimum of a high school diploma
Experience coordinating administrative functions across multiple academic departments or divisions.
Demonstrated experience with budget tracking, purchasing, and fiscal procedures within a public or higher education environment.
Experience managing office logistics including scheduling, event coordination, and technology or system access requests.
Proven ability to communicate effectively with internal and external stakeholders, including deans, department chairs, faculty, staff, and students.
Demonstrated proficiency with enterprise systems such as Banner, Argos, or similar ERP systems for budget tracking, purchasing, and reporting.
Proven ability to manage confidential information with discretion and ensure compliance with institutional, fiscal, and procedural requirements.

PREFERRED QUALIFICATIONS:

Bachelor's degree in Higher Education Administration, Business Administration, Communications, or a related field.
Experience managing administrative operations in a community college or public higher education environment.
Demonstrated experience with budget monitoring, purchasing systems, or ERP-based workflow management (e.g., Banner, Workday, Colleague).
Experience supporting academic marketing, events, and communications initiatives.
Familiarity with Massachusetts state or community college policies related to procurement, personnel access, and operational procedures.
Proficiency in Microsoft Excel, Outlook, and project management or workflow tracking software.
