Full Job Description

Job Overview

Utah Pacific Bridge is seeking an office Manager to support accounting, administrative, and project documentation functions. This position will assist with some accounting, invoicing, document management, office administration, and general support for management. This role acts as a central administrative support point between finance, operations, employees, vendors, customers, and management.

What a typical day in this position might look like:

Manage front desk operations, including greeting visitors and handling phone systems with professionalism and courtesy
Oversee office supplies inventory, procurement, and filing systems to ensure all resources are readily available and well-organized
Utilize productivity software such as Microsoft Office, spreadsheets, and Word processing tools for data entry, document creation, and record keeping
Coordinate calendar management, schedule meetings, and assist with personal assistant tasks to support executive needs
Maintain accurate records using bookkeeping software for financial tracking purposes
Provide exceptional customer service by addressing client inquiries via phone or email promptly and professionally
Ensure proper office etiquette is upheld through proofreading documents, managing phone communication, and maintaining a tidy front desk environment
Support timecard collection and compilation
Gather reports and other documentation
Other projects or tasks as assigned

Experience you will need

Proven experience in office management or administrative roles with a strong background in clerical tasks and customer support
Demonstrated proficiency with Microsoft Office Suite (Word, Excel), spreadsheets, data entry, and general computer literacy
Basic understanding of accounts payable and accounts receivable
Strong organizational skills with a proven record of follow through, with the ability to multitask efficiently
Excellent phone etiquette, proofreading skills, and attention to detail are essential for success in this role
Comfort working with vendors, customers, and employees from many different backgrounds and situations.

Helpful experience but not required

Bilingual abilities in Spanish are highly preferred to facilitate effective communication with diverse clients and team members
Experience working in Construction, manufacturing, or fabrication industry.
Previous experience handling bookkeeping or financial software is advantageous
Experience with Certified payroll, lien waiver, or public works documentation.
