We are seeking an experienced and knowledgeable Event Travel Clerk to work at our location in Pleasant Grove, Utah. This is a full-time, in-office, non-exempt position entitled to overtime in accordance with the Fair Labor and Standards Act.
Job Description
The Event Travel Clerk reports to the Event Travel Specialist and provides administrative and operational support for external company events, booth travel, and Dragonsteel Nexus (DSNX). The Event Travel Clerk keeps accurate records, maintains smooth communication, and executes timely completion of event specific operational tasks while gaining hands-on experience in event operations and team coordination. This position supports logistics coordination, documentation, and onsite execution for multiple travel event functions every year. The ideal candidate is detail-oriented, dependable, and comfortable supporting multiple workstreams simultaneously. They demonstrate strong follow-through, a willingness to learn new processes and making suggestions to improve them, ability to lead teams of temporary event staff, and the ability to work collaboratively in fast-paced, deadline-driven environments while maintaining professionalism and accuracy.
Responsibilities
Booth Travel Support under the direction of the Event Travel Specialist
- Help with booth operations, including setup, inventory management, and packing and shipping in coordination with the merchandise warehouse team
- Maintain accurate records of inventory, expenses, and event-related documentation
- Support booth design and layout improvements
- Help with employee travel arrangements including researching booth travel locations, venues, and opportunities and present findings for review
- Support the creation and execution of event plans by assisting with timelines, task tracking, and resource coordination
- Create planograms using CAD for booth layouts
- Help prepare booth travel proposals for submission to Operations for approval
- Help track booth travel budgets by compiling expense data and providing updates to Operations and Finance
- Maintain and monitor booth travel-related documentation to support compliance with contractual commitments
- Support the creation and implementation of convention committees and subcommittees
- Supervise, train, set schedules, and give on the spot feedback to temporary DSNX staff in the Registration, Distribution, Store, and Flex subcommittees
- Help identify bottlenecks, challenges, and opportunities for process improvement
Additional Responsibilities
- Help with post event analysis through inventory reconciliation, gathering feedback from employees that worked the event, and documenting opportunities for process improvement
- Support other members of the Events Team as assigned
- All other duties as assigned by management
Required Skills & Qualifications
Education & Work Experience
- High school diploma or equivalent required, some college course work in event management, project management, business, or a related field preferred
- 1–3 years of administrative, event support, or logistics experience
- Prior experience assisting with events and working in a team-based, deadline-driven environment
Availability
- In office 30-40 hours per week, everyday Monday–Friday, flexible hours between 8am and 6pm, working toward an eventual 40-hour work week within 1 year
- Willing to travel when required, up to 4–5 times per year for events that may require up to 10 days away from home
- Comfortable working in high-activity environments, including evenings and weekends during events
- Must be able to pass a background check
- Must be eligible to legally work in the United States and provide applicable documentation
Technical Skills & Systems Knowledge
- Experience with inventory management systems and event management software
- Experience with logistics tracking software and scheduling tools
- Comfortable using standard office software (Google Workspace or Microsoft Office) for documentation, schedules, and reporting
- Ability to learn and adapt to internal systems and event-specific platforms used by venues or organizers
- Experience using CAD software to create vector graphics representing booth layouts preferred
- Experience with project management software (e.g., Asana, Trello, Monday.com, Smartsheet) and event management platforms preferred
- Familiarity with CRM systems, ticketing, or registration software is a plus. Ability to learn and adapt to internal systems and event-specific platforms used by venues or organizers
- Must be familiar with the core books of Brandon Sanderson and well versed in the Cosmere

- Attention to detail in documentation and process adherence
- Has project and time management skills with the ability to support multiple priorities and moving parts, while delivering results under tight timelines

- Arrives on time for and works all scheduled shifts, and communicates requested schedule changes well in advance of an expected shift

Physical Requirements
- Ability to lift and move merchandise and event materials (up to 50 lbs).
- Ability to stand and walk for 8 hours a day, usually longer during events
- Ability to work at a computer 8 hours a day; i.e., viewing a computer screen/monitor and utilizing a keyboard and mouse
- Ability to bend, squat, and reach with normal range of motion
