Parish Office Administrator & Bookkeeper

Reports to: Parish Priest
Works with: Parish Council Treasurer, Parish Council President, ministry leaders, and outside accounting professionals as needed

About the Position

We are seeking a reliable, organized, and detail-oriented Parish Office Administrator & Bookkeeper to support the daily administrative and financial operations of our Orthodox Christian parish.

This position combines bookkeeping, office administration, parish records management, communications, and technology. The successful candidate will be comfortable working independently, handling confidential information, learning new software, and maintaining accurate records.

Experience in nonprofit or church administration is preferred, and familiarity with the organization and rhythm of an Orthodox Christian parish is a strong plus.

Key ResponsibilitiesBookkeeping & Financial Administration

Maintain accurate parish financial records and enter income and expenses.
Process weekly deposits and maintain supporting documentation.
Reconcile receipts, invoices, reimbursements, and other transactions.
Maintain donor and stewardship records.
Assist the Parish Priest and Treasurer with routine financial reports.
Prepare and organize financial records for the parish accountant, tax preparer, or auditor.
Assist with year-end financial documentation.
Use Aplos or other designated accounting software accurately and consistently.
Follow established financial procedures and internal controls.

Parish Office & Records

Maintain accurate parish membership, sacramental, and official records as directed.
Update parish databases, mailing lists, and household information.
Organize and maintain electronic and physical files.
Answer phone calls and routine inquiries professionally and direct pastoral or sensitive matters to the Parish Priest.
Receive and distribute mail and correspondence.
Prepare letters, forms, certificates, reports, and other office documents.
Handle routine printing, scanning, copying, filing, and mailing.
Monitor office supplies and basic office needs.

Parish Communications

Assist the Parish Priest and Parish Council with the weekly parish bulletin.
Collect, edit, organize, and format announcements.
Assist with newsletters and parish-wide communications.
Maintain email lists and communication databases.
Assist with the parish website, Google Workspace, WhatsApp, forms, and other communication systems.
Create professional flyers, forms, PDFs, and other printed or digital materials.

Technology & Systems

The successful candidate should be highly comfortable with technology and able to learn new systems quickly. Experience with some or all of the following is preferred:

Aplos or similar nonprofit/church accounting software
Gusto Payroll
Google Drive, Docs, Sheets, Forms, and Gmail
Microsoft Word and Excel
PDF creation and editing
Membership or database-management software
Mailchimp or similar email platforms
Website content-management systems
Printers, scanners, copiers, and other standard office equipment

The ability to troubleshoot routine technology issues and develop efficient digital workflows is important.

Qualifications

Demonstrated bookkeeping or accounting experience.
Strong computer, spreadsheet, and data-management skills.
Excellent organizational skills and attention to detail.
Ability to manage multiple responsibilities and meet deadlines.
Strong written and verbal communication skills.
Ability to work independently and follow established procedures.
Ability to handle confidential information with discretion and professionalism.
Willingness and ability to learn new software and systems.
Nonprofit, church, or parish administrative experience is preferred.
Familiarity with Orthodox Christian parish life and administration is strongly preferred.

Confidentiality

This position involves access to confidential financial, donor, personnel, membership, sacramental, and pastoral information. The successful candidate will be required to maintain strict confidentiality and sign a parish confidentiality and non-disclosure agreement as a condition of employment.

This is an administrative and financial position, not a pastoral position. Pastoral counseling, sacramental decisions, sensitive parish matters, and other pastoral concerns are handled by the Parish Priest.
