Job Overview

We are seeking a highly organized and proactive Bilingual Administrative Assistant to join our dynamic team. This role is essential in providing comprehensive administrative support, ensuring smooth office operations, and facilitating effective communication with diverse clients and stakeholders. The ideal candidate will possess strong office management skills, be fluent in two languages, and demonstrate exceptional attention to detail. This position offers an excellent opportunity for a motivated professional to contribute to a collaborative environment while utilizing their clerical expertise and technical proficiency.

Duties

Serve as the first point of contact at the front desk, greeting visitors and managing multi-line phone systems with professionalism and courtesy
Handle incoming calls, provide excellent customer service, and communicate effectively in both languages
Manage calendar scheduling, appointments, and coordinate meetings for team members
Perform data entry tasks accurately using Microsoft Office applications and maintain organized filing systems
Assist with bookkeeping activities including invoicing, expense tracking, and reconciling accounts using QuickBooks
Support office management functions such as ordering supplies, maintaining office equipment, and handling confidential information discreetly
Prepare correspondence, proofread documents for accuracy, and ensure timely completion of administrative tasks
Facilitate client communication by providing timely responses and support via phone or email
Maintain organized records of client files, invoices, and other essential documents
Support personal assistant duties as needed, including travel arrangements and calendar management

Experience

Minimum of two years of clerical or administrative experience in an office environment
Proven experience with office management tasks such as filing, data entry, and document proofreading
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook)
Experience working with QuickBooks or similar bookkeeping software is preferred
Excellent organizational skills with the ability to prioritize tasks efficiently
Demonstrated ability to handle confidential information responsibly
Bilingual proficiency in [specify languages], with strong verbal and written communication skills in both languages
Exceptional phone etiquette and customer service skills to support diverse client interactions
Prior experience supporting personal or executive assistants is advantageous
