Position Summary
The Patient Care Coordinator supports patients throughout their experience with our clinic, from their first phone call through the completion of care.
This position works closely with patients, clinical staff, the billing department, and clinic leadership. Responsibilities include scheduling appointments, answering phones, collecting patient and insurance information, completing benefit checks, coordinating authorizations, maintaining accurate documentation, and assisting with general administrative operations.
The ideal candidate is resourceful, detail-oriented, comfortable learning new systems, and able to communicate professionally with patients, healthcare providers, insurance representatives, and coworkers.
Primary Responsibilities
- Answer incoming phone calls and assist patients in a friendly, professional, and efficient manner.
- Schedule new and established patients according to clinic procedures and provider availability.
- Collect, verify, and accurately enter patient demographic, contact, referral, and insurance information.
- Activate and prepare new patient accounts within the electronic medical record system.
- Complete insurance eligibility and benefit checks using online portals, phone verification, and other payer-specific methods.
- Obtain, track, and update insurance authorizations when required.
- Communicate benefit information and estimated patient financial responsibility clearly and professionally.
- Work directly with the billing department to resolve insurance, authorization, claim, and patient account questions.
- Request prescriptions, referrals, medical records, and other required information from physician offices.
- Maintain accurate and detailed documentation of communication with patients, insurance companies, medical offices, and clinicalstaff.
- Assist patients with scheduling concerns, account questions, required paperwork, and general clinic information.
- Monitor administrative tasks and follow up on outstanding information without requiring repeated reminders.
- Provide support to other members of the administrative team and clinic leadership as needed.
- Protect patient confidentiality and comply with all HIPAA requirements and clinic policies.
Qualifications
- High school diploma or equivalent required.
- At least one year of experience in a medical office, medical reception, patient coordination, insurance verification, healthcarebilling, or a related position required.
- Experience completing insurance eligibility and benefit verification strongly preferred.
- Strong customer service and patient communication skills.
- Excellent verbal and written communication skills.
- Strong organizational, time-management, and follow-through skills.
- Ability to manage frequent interruptions and multiple responsibilities without losing accuracy.
- Ability to remain calm, professional, and friendly in a fast-paced environment. Dependable attendance and a strong work ethic.
- Comfortable receiving feedback, learning new processes, and adapting to changing priorities.
- Basic computer proficiency, including Gmail, Microsoft Word, scanning, printing, electronic forms, and data entry.
- Ability to learn and confidently use an electronic medical record system and multiple insurance portals.

Pay: $18.00 - $20.00 per hour
