About Pueblo Regional Center
Pueblo Regional Center (PRC) units provide comprehensive psychiatric and psycho-social evaluation and treatment by a multi-disciplinary treatment team. This includes: 24 hour nursing care and assessment; psychiatric intervention and evaluation; behavioral services; psycho-social services; occupational therapy, educational and vocational rehabilitation services and recreational therapy. Patients are admitted throughout the state from correctional, court, mental health, and other community facilities and long and short term treatment under court authority, as well as transfers from within PRC and other units.
This work unit exists to provide support to the Director for Pueblo Regional Center and overall administration for both internal and external programs and activities.
This Pueblo Regional Center (PRC) is one of three state-operated Regional Center providing services to Individuals with Intellectual Disabilities in a HCBS Waiver facility in compliance with state and federal rules and regulations. The agency consists of 9 group homes/facilities for Individuals with Intellectual Disabilities and provides comprehensive, integrated and coordinated services for up to 72 individuals. These services are provided in compliance with State and Federal Standards to maintain Medicaid funding to support the health, welfare and active treatment of individuals served by this agency
This position is 100% in-person; you are required to work at your assigned work location during your scheduled work times.
This Assistant to the Director position provides administrative, logistical, and professional support to the Pueblo Regional Center (PRC) Director. Additionally, this position supports day-to-day operations including verbal and written communication and correspondence, scheduling and maintaining the Director's calendar, meeting agendas and minutes, organizing, tracking, and finalizing routine reports, and monitoring/tracking regulatory compliance initiatives. This position also serves as a point of contact and support for a wide range of internal and external customers and CDHS staff. This position serves as a key coordinator of activities and services at PRC, including assessing problem situations, resolving issues and/or directing individuals to the appropriate person or area to resolve the problem. The PRC Director travels; therefore, this position must be able to work independent of constant supervision, with strict prioritization and self-motivation in order to uphold and maintain operations and professionalism of PRC while assuring that internal and external customer needs are met.
Additionally, as the Assistant to the Director, you can expect to:

Be the first contact for the Director's office, triage-incoming requests, determines when to send requests to a higher authority.

Manage projects and compiles final product for review and approval.

Manages Director’s calendar.

Maintain travel card files to include making appropriate travel arrangements.

Schedule meetings, arranges meeting rooms and appropriate materials, takes and distributes meeting minutes.

Process the EL&R Intake forms and completes administrative leave documents for all staff as directed by the Director.

Develops memos, letters, forms, tables and graphs as needed by the Director.

Manage supervisory files and other confidential files.

Provide technical guidance to internal/external stakeholders and CDHS staff.

Create, revise, and implement internal procedures related to workflow, coverage, correspondence, and timeliness.

Conducts quarterly checks of internal procedures to ensure effective and efficient systems are in place.

Tracks incoming requests for Director r approval including developing and managing submittal procedures.

Prepares meeting agendas and records meeting minutes for the Leadership Team, Emergency On-Call, Guardian and PRC All Staff Meetings.

Serves as the agency’s operational liaison with PRC and DRCO utilizing a state vehicle for travel.

Position requires traveling between remote work sites to run errands or attend meetings.

Support the department with technical and administrative tasks, etc.

Experience operating Google Drive to process Employee & Labor Relations (EL&R) intake forms and administrative leave documentation as directed by Senior-Level Directors.
Experience maintaining tracking systems and handling highly confidential correspondence and records related to progressive discipline and sensitive personnel matters.
Experience creating, revising, and implementing internal procedures to improve workflow, coverage, correspondence, and timeliness.
Ability to successfully multitask across competing high-priority demands.
Experience coordinating comprehensive travel arrangements and completing accurate expense reimbursements in compliance with state of rule.
Good work history.
Relevant years of State service experience with a proven work history of dependability, discretion, and consistent operational performance.

Out-of-State Driver’s License holders must obtain a valid, non-restricted Colorado Driver’s License within 30 days of employment start date.

CDHS Selection Process Explanation
Employment history is calculated on a full-time basis (40/hrs per week). Part-time employment is calculated on a prorated basis to determine qualifications.
