Position Summary
We are seeking a highly organized and customer-focused Operations Agent to join our team. The successful candidate will be responsible for coordinating import and export shipments, preparing logistics documentation, tracking cargo movements, and maintaining effective communication with customers, carriers, overseas agents, warehouses, and customs brokers.
The ideal candidate will have experience in international logistics, excellent communication skills, the ability to manage multiple tasks simultaneously, and a strong commitment to customer service.
Key Responsibilities
- Coordinate pickups and deliveries with customers, carriers, warehouses, and overseas agents.
- Request bookings with air and ocean carriers.
- Coordinate import and export shipments from origin to destination.
- Prepare and review shipping documentation, including:
- Pickup Orders
- Bills of Lading
- Labels
- Shipper’s Letters of Instruction (SLI)
- House Bills and Master Bills
- Cargo Manifests
- Delivery Orders
- Pre-alerts
- Maintain regular communication via email and phone with customers, vendors, and business partners.
- Coordinate and follow up with customs brokers regarding shipment clearance and documentation.
- Provide shipment status updates and resolve operational issues as they arise.
- Perform electronic data transmissions and maintain accurate information in company systems.
- Monitor and track shipments to ensure timely delivery.
- Verify documentation and ensure compliance with customs regulations and other applicable requirements.
- Prepare customer quotations as needed.
- Review shipment charges, vendor invoices, and related documentation.
- Analyze operational reports and maintain accurate records.
- Deliver exceptional customer service and provide effective solutions to customer needs.
- Perform other duties related to import and export operations as assigned.
Education
- Associate’s or Bachelor’s Degree in Logistics, Supply Chain Management, Business Administration, or a related field preferred.
Experience
- Minimum of two (2) years of experience in international logistics, freight forwarding, import/export operations, or related fields.
- Experience handling international shipping documentation is preferred.
Knowledge, Skills & Abilities
- Knowledge of import/export regulations, shipping documentation, and customs procedures.
- Familiarity with ocean freight, air freight, and international logistics operations.
- Proficiency in Microsoft Office applications (Word, Excel, Outlook).
- Experience with CargoWise or similar freight forwarding software preferred.
- Knowledge of Incoterms and U.S. Customs regulations.
- Excellent verbal and written communication skills.
- Ability to work in a fast-paced environment and manage multiple priorities.
- Strong organizational skills and attention to detail.
- Strong analytical and problem-solving abilities.
- Bilingual (English/Spanish)
