Overview
We are seeking a dynamic and proactive Asistente de Oficina to join our team! This role is vital in ensuring the smooth and efficient operation of our office environment. The ideal candidate will be energetic, highly organized, and possess excellent communication skills. As a key point of contact within our organization, you will handle administrative tasks, support office management, and provide exceptional customer service to both internal teams and external visitors. This paid position offers an exciting opportunity to develop your administrative expertise while contributing to a vibrant workplace.

Responsibilities

Manage front desk operations, greeting visitors and directing them appropriately with professional phone etiquette.
Operate multi-line phone systems efficiently, handling inquiries and routing calls promptly.
Maintain organized filing systems, both digital and physical, ensuring easy retrieval of documents.
Perform data entry tasks using Microsoft Office, Google Workspace, and bookkeeping software like QuickBooks.
Support calendar management and scheduling for team meetings, appointments, and events.
Assist with office management duties such as supply inventory, mail distribution, and maintaining cleanliness.
Provide clerical support including proofreading documents, preparing reports, and managing correspondence.
Handle customer support inquiries with professionalism and courtesy, ensuring positive interactions.
Support bookkeeping activities by recording financial transactions accurately and reconciling accounts as needed.
Coordinate with team members to ensure efficient office operations and timely completion of tasks.

Qualifications

Proven office experience with strong organizational skills and attention to detail.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and basic computer literacy.
Experience using QuickBooks or similar bookkeeping software is preferred.
Excellent phone etiquette with the ability to manage multi-line phone systems effectively.
Bilingual abilities (English/Spanish) are highly desirable to support diverse communication needs.
Strong typing skills with a focus on accuracy and speed; familiarity with data entry processes.
Previous clerical or administrative experience demonstrating reliability and professionalism.
Exceptional organizational skills with the ability to prioritize tasks efficiently.
