About Isla Viva Group

Isla Viva Group operates four businesses from Marina Puerto Chico in Fajardo — Kayaking Puerto Rico, Snorkeling Puerto Rico, Sábalos Marina Grill & Rooftop, and Propiedades DP. We run a modern tech stack built around Google Workspace, Notion, Slack, Asana, QuickBooks, and an active AI infrastructure across all four entities.

The Role

We're hiring a part-time IT Operations Coordinator to own the day-to-day technology layer — so our leadership team isn't the one resetting passwords, managing access, or chasing down renewals.

The systems are solid. Documentation is a work in progress — your first 30 days will include closing those gaps as you get up to speed. We run an active AI infrastructure that makes that faster than it sounds. If you do your best work in environments where everything is already figured out, this probably isn't the right fit. If building the system while running it is your thing, it is.

What You'll Own

Google Workspace administration: user accounts, aliases, groups, permissions, and 2-step verification across four business domains
Employee tech access: onboarding provisioning and offboarding revocation — every time, without gaps
IT expense oversight: maintain a current view of all software costs, renewal dates, and usage across the stack — nothing renews without a decision
Cost-saving recommendations: when you identify redundant tools, better alternatives, or underused subscriptions, you bring a recommendation — not just a flag
Documentation of all changes: any new tool, integration, or configuration change gets documented before it's considered done
Software inventory: keep the master list of tools, costs, renewal dates, and account owners current
Subscription oversight: catch renewals before they surprise us and flag anything growing in cost
Integration health: monthly check of all connected AI tools and integrations — flag failures proactively
External contractor coordination: when projects exceed in-house scope, you manage the relationship, track deliverables, and keep leadership informed — you're the point of contact, not the one getting replaced
Device and network: periodic on-site visits to Marina Puerto Chico for device setup, network checks, and hardware issues (~1–2x per month)
1Password vault management: right people, right credentials, nothing more

What We're Looking For

2–3 years of hands-on IT or SaaS administration experience — small business environment preferred
Google Workspace admin experience — non-negotiable
Experience administering SaaS tools such as Notion, Slack, or Asana
Password manager administration (1Password or equivalent)
Financially aware: you understand that tool sprawl costs money and you treat the software budget like it's yours
Comfortable with ambiguity: you can assess what exists, identify what's missing, and build from there without waiting to be told
Bilingual Spanish / English
Located in the Fajardo / Río Grande / Humacao / Ceiba area — on-site visits required approximately 1–2x per month
Detail-oriented and proactive: you notice the renewal coming up in three weeks and say something before anyone asks
Comfortable with AI tools in a work context — we run an active Claude AI infrastructure and you'll be maintaining integrations

What We Offer

$22–$25/hr based on experience
10 hours per week to start, with a clear path to 15 hours at 90 days
