Subcontractor Bid & Procurement Coordinator

Location: Western Puerto Rico

Job Type: Full-Time, On-Site

Pay: $14.00-$16 per hour, based on experience

About the Role

Lighthouse Integrated Services Corp. is seeking a highly organized, persistent, and deadline-driven Subcontractor Bid & Procurement Coordinator to support federal government contract opportunities.

This position is responsible for contacting prospective subcontractors, obtaining competitive pricing, collecting required supporting information, and ensuring that subcontractor quote packages are complete in time for Lighthouse to submit bids.

This is a hands-on, fast-paced office position. A major part of the role involves outbound telephone calls, vendor follow-up, quote solicitation, and working against firm proposal deadlines.

The primary measure of success is simple:

Do we have the qualified subcontractor pricing and required information in time to submit the bid?

Responsibilities

* Contact prospective subcontractors and vendors by phone and email.

* Identify the appropriate owner, estimator, sales representative, or decision-maker.

* Request and obtain subcontractor pricing for active bid opportunities.

* Send scopes of work, specifications, and quote requests to prospective subcontractors.

* Follow up persistently until a quote, commitment, or decline is received.

* Develop backup subcontractor options when initial vendors do not respond.

* Obtain multiple competitive quotes when required.

* Review quotes for completeness, exclusions, assumptions, and obvious scope gaps.

* Request missing information or revised pricing when necessary.

* Collect supporting information such as:

* Company information

* Pricing

* Past performance

* Licenses and certifications

* Insurance information

* Staffing and equipment availability

* References

* Other proposal-specific information

* Track calls, emails, quote deadlines, responses, and outstanding items.

* Maintain and expand Lighthouse’s subcontractor and vendor database.

* Support quote comparisons and basic pricing reviews.

* Coordinate closely with management and proposal personnel.

* Immediately communicate when a quote package is at risk of missing a deadline.

* Manage several active quote requests at the same time.

Qualifications

* 2+ years of relevant experience in procurement, construction estimating support, subcontractor coordination, purchasing, vendor sourcing, inside sales, project coordination, or a similar deadline-driven environment.

* Prior experience requesting and following up on vendor or subcontractor quotations.

* Strong telephone communication skills.

* Comfortable making frequent outbound calls.

* Strong follow-up skills and persistence.

* Ability to manage multiple deadlines at the same time.

* Strong organizational skills and attention to detail.

* Comfortable communicating with business owners, estimators, vendors, and subcontractors.

* Proficiency with Microsoft Outlook, Excel, Word, PDF documents, and internet research.

* Bilingual English and Spanish.

Preferred Experience

Candidates with experience in any of the following are strongly encouraged to apply:

* Construction estimating or preconstruction

* Construction purchasing or procurement

* Subcontractor coordination

* Facilities management

* Vendor sourcing

* Commercial or industrial purchasing

* Inside sales involving quotations

* Bid or proposal coordination

* Government contracting

Federal contracting experience is helpful but not required.

We are looking for someone who will continue following up, develop backup options, and work the problem until the required pricing and information are obtained.

* Proactive when a vendor is not responding

* Comfortable working in a small, fast-moving company

Construction-industry experience can be especially valuable because of the industry’s emphasis on schedules, subcontractor coordination, and meeting bid deadlines.

Work Environment

This is an on-site office position in western Puerto Rico.

The workload may become significantly busier during periods when multiple federal proposal deadlines occur at the same time.

This is not a construction labor or field position

Pay: $14.00 - $16.00 per hour

Expected hours: 40.0 per week
