Overview

We are seeking an energetic and detail-oriented Front Desk Agent to serve as the welcoming face of our organization. In this vital role, you will manage front desk operations, provide exceptional customer service, and ensure smooth administrative processes. Your proactive attitude and organizational skills will help create a positive experience for visitors, clients, and team members alike. This paid position offers an exciting opportunity to develop your office management expertise while contributing to a dynamic team environment.

Responsibilities

Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
Answer multi-line phone systems efficiently, directing calls accurately and professionally
Manage appointment scheduling and calendar coordination using productivity software and calendar management tools
Perform data entry tasks with accuracy using spreadsheets, Microsoft Office applications, and other office software
Handle clerical duties such as filing, proofreading, and maintaining organized records
Assist with office management tasks including supply inventory, mail distribution, and basic troubleshooting of office equipment
Provide customer support by addressing inquiries, providing information, and ensuring excellent client communication

Skills

Strong computer literacy with proficiency in Microsoft Office suite (Word, Excel, Outlook) and familiarity with productivity software
Experience with office management systems such as QuickBooks or similar accounting tools is a plus
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Exceptional phone etiquette and communication skills for professional interactions via phone and in person
Bilingual abilities are highly desirable to serve diverse client needs
Demonstrated clerical experience including data entry, filing, proofreading, and document management
Technical proficiency in handling multi-line phone systems, spreadsheets, and general office equipment
Strong time management skills to prioritize tasks efficiently and meet deadlines
Previous front desk or administrative experience is preferred to ensure smooth daily operations
