Medical Records Manager
Location: Remote (Must Reside Within Close Proximity to Fort Myers, Florida)
Position Type: Full-Time, Exempt (Salaried)
Salary Range: $44,000 – $50,000 annually
Position Summary
The Medical Records Manager is responsible for overseeing the day-to-day operations of the medical records department, ensuring the timely processing, fulfillment, and dispatch of medical record requests while maintaining compliance with all applicable privacy and confidentiality requirements. This role serves as the primary coordinator for medical records workflows, oversees billing activities associated with certain records requests, and manages a small offshore support team responsible for assisting with records processing and fulfillment.
The ideal candidate is a highly organized self-starter who thrives in a fast-paced environment, demonstrates strong follow-up and project management skills, and possesses a strong sense of urgency and prioritization.
Essential Duties and Responsibilities
- Manage the intake, tracking, processing, and fulfillment of medical records requests.
- Ensure records requests are completed accurately and within established turnaround time expectations.
- Monitor departmental workflows and identify opportunities to improve efficiency, quality, and responsiveness.
- Oversee billing processes associated with applicable records requests and ensure accurate invoicing and collections support.
- Supervise and provide direction to a small offshore team supporting records processing activities.
- Establish performance expectations, monitor productivity, and provide coaching and feedback to team members.
- Serve as the primary point of escalation for complex or time-sensitive records requests.
- Analyze departmental data and performance metrics to identify trends, risks, and opportunities for improvement.
- Prepare reports and maintain tracking logs utilizing Microsoft Excel and other reporting tools.
- Collaborate with legal, compliance, operations, and clinical teams regarding records requests and related processes.
- Assist with special projects, process improvement initiatives, and departmental implementations as assigned.
- Maintain compliance with HIPAA and all applicable federal and state privacy requirements.
- Develop and maintain standard operating procedures related to medical records management and fulfillment.
QualificationsRequired
- High school diploma or equivalent.
- Demonstrated ability to manage multiple priorities simultaneously while meeting deadlines.
- Strong organizational, follow-up, and communication skills.
- Proficiency with Microsoft Excel, Microsoft Word, and other Microsoft Office applications.
- Ability to analyze data and identify operational trends.
- Strong attention to detail and commitment to accuracy.
- Ability to work independently with minimal supervision.
- Strong sense of urgency and accountability.
Preferred
- Bachelor's degree in Healthcare Administration, Business Administration, Information Management, or a related field.
- Previous experience managing medical records operations or records request fulfillment.
- Experience supervising remote or offshore team members.
- Experience with healthcare compliance, HIPAA, and patient privacy regulations.

Working Conditions
This position is primarily remote; however, candidates must reside within close proximity to Fort Myers, Florida to attend occasional in-person meetings, training sessions, or operational events as needed.

- Ability to occasionally lift and carry office materials weighing up to 15 pounds.
